We are actively seeking a Forward Planning Coordinator to join a growing organization within the land development, planning, and real estate development industry. This is an outstanding opportunity for a highly organized professional who enjoys keeping projects moving, coordinating critical documentation, and supporting planning and development teams through every stage of the entitlement and development process. In this role, you will serve as a key administrative and project coordination partner, helping ensure planning activities, records, contracts, permits, and project milestones are managed accurately and efficiently.

What You'll Be Responsible For
- Coordinate planning commission, public agency, and related meeting agendas, ensuring materials are collected, assembled, and distributed on schedule.
- Gather reports, exhibits, and supporting documentation from internal departments and outside agencies to support planning activities.
- Maintain agenda calendars and track submission deadlines to help keep projects progressing without delays.
- Perform research on projects, properties, and development-related records as requested by leadership.
- Process purchase orders, invoices, check requests, and related administrative transactions.
- Maintain organized electronic and physical filing systems for development records, plans, contracts, permits, and correspondence.
- Oversee project plan inventories, plan room materials, archive records, and document retention activities.
- Coordinate reproduction and distribution of plans, drawings, and other technical documents with outside vendors when needed.
- Track contracts, agreements, amendments, permits, milestone dates, and compliance requirements to support project execution.
- Assist with due diligence documentation, including surveys, title information, environmental reports, zoning materials, and utility-related records.
- Prepare correspondence, meeting materials, reports, presentations, and meeting minutes for internal and external stakeholders.
- Schedule meetings, conference calls, and site visits while supporting day-to-day departmental operations and special projects.
To Be Successful in This Role, You'll Bring
- 2+ years of administrative, project coordination, planning, land development, construction, engineering, real estate, or related experience preferred.
- Strong organizational skills with the ability to manage multiple deadlines and competing priorities.
- Exceptional attention to detail and commitment to maintaining accurate project records.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Ability to work independently while effectively supporting multiple team members and departments.
- Experience handling contracts, project documentation, permits, records management, or development-related files is highly desirable.
- Professional problem-solving skills and the ability to adapt within a fast-paced environment.
