Position Summary

The Project Coordinator provides administrative and coordination support for electrical construction projects. This position works closely with project managers, field personnel, vendors, subcontractors, and customers to help keep projects organized, properly documented, and progressing according to schedule.

Essential Job Functions

  • Prepare, submit, track, and maintain Requests for Information (RFIs).
  • Prepare, submit, track, and maintain project change orders.
  • Assist with preparing and tracking project bids.
  • Maintain accurate and organized project documentation, records, correspondence, and files.
  • Communicate regularly with project managers, field personnel, vendors, subcontractors, customers, and other project stakeholders.
  • Coordinate project inspections with the appropriate agencies, inspectors, and field personnel.
  • Monitor outstanding project items and follow up with the appropriate parties to obtain required information, approvals, or documentation.
  • Enter, review, and update project information using company software and electronic filing systems.
  • Essential Attendance and Communication Requirements
  • Communicate promptly with management regarding absences, delays, or an inability to report to work.
  • Respond to time-sensitive project matters and meet established deadlines.
  • Ability to communicate efectively by telephone, email, video conference, and in person.
  • Ability to adapt to changing project needs and interruptions.
  • Ability to exercise professional judgment and appropriately handle confidential or sensitive information.
  • Ability to occasionally stand, walk, bend, reach, and carry standard ofice materials and project documents.
  • Ability to travel to project sites or other locations when required, if applicable.
  • Coordinate utility locating services and communicate scheduling information to the project team.
  • Coordinate subcontractor scheduling, documentation, and project-related requirements.
  • Manage multiple assignments, deadlines, and project priorities simultaneously.
  • Attend project meetings and provide project updates as requested.
  • Perform other related project coordination and administrative duties as assigned.
  • Maintain regular and reliable attendance.
  • Report to work as scheduled and be available during established working hours.
  • Maintain timely and professional communication with internal and external project stakeholders.

Work Environment

This position is primarily office-based and requires frequent use of a computer, telephone, email, and project management software. The Project Coordinator regularly communicates and collaborates with office personnel, field employees, vendors, subcontractors, and customers. As part of a small business operating in a fast-paced environment, the position requires flexibility, organization, responsiveness, and the ability to manage multiple priorities. The employee may also be required to attend job walks and site visits as a company representative in connection with project bids and other project-related activities.
