Addison Group is hiring a Special Assistant to the CEO on behalf of our client, a leading nonprofit organization serving the local community. This temporary opportunity will provide direct support to the CEO and Executive Office while the organization completes its search for a permanent hire.
Job Description
The Special Assistant to the CEO will provide high-level administrative and organizational support in a fast-paced executive environment. The primary focus of this position will be comprehensive calendar management and scheduling, along with meeting coordination, executive communications, travel, special projects and support for Board-related activities.
The ideal candidate is highly organized, proactive and comfortable anticipating the needs of a senior executive. This individual should be able to manage competing priorities, communicate professionally with a variety of stakeholders and take ownership of responsibilities with minimal oversight.
Key Responsibilities
- Manage a complex executive calendar, including scheduling, prioritizing meetings and resolving conflicts.
- Coordinate meetings and appointments with internal and external stakeholders.
- Prepare agendas, briefing materials, presentations and other documents for executive meetings.
- Arrange travel, meeting logistics and event details as needed.
- Draft, edit and proofread emails, correspondence and other executive communications.
- Track action items, deadlines, commitments and follow-ups to ensure timely completion.
- Conduct research and organize information to support executive meetings and decision-making.
- Assist with special projects and initiatives led by the CEO.
- Support Board of Directors and committee meetings through scheduling, communications, materials and logistics.
- Coordinate executive-led meetings, events, retreats and other gatherings from planning through execution.
- Work collaboratively across departments and with external stakeholders.
- Identify opportunities to improve administrative processes and executive office workflows.
- Handle sensitive and confidential information with discretion and professionalism.
- Proactively anticipate needs and address scheduling or logistical challenges before they become issues.
Qualifications
- 5+ years of experience providing executive-level administrative support, particularly in complex scheduling and calendar management.
- Demonstrated experience managing detailed and frequently changing executive calendars.
- Strong written and verbal communication skills with the ability to draft polished professional correspondence.
- Advanced proficiency with Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
- Experience coordinating meetings, travel, events and executive-level communications.
- Strong organizational and project management abilities with excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proactive, resourceful and comfortable working independently.
- Strong judgment and discretion when handling confidential information.
- Professional, personable communication style with the ability to work effectively with individuals at all levels.
- Bachelor’s degree preferred/required.
Additional Details
- Start Date: Monday, 8/24
- Assignment Length: Approximately 4–6 weeks, with the permanent position expected to be filled around October 1.
- Interview Process: One 30-minute virtual interview with HR.
- Interview Availability: Candidates should be available to interview Thursday, 8/20 or Friday, 8/21 between 8am–10am.
- Work Arrangement: Fully onsite in Washington, DC.
- Overtime: Eligible for overtime with supervisor approval.
- Conversion Potential: Low likelihood of conversion as this assignment is intended to provide interim coverage while the client hires for the permanent position.
- Ideal Candidate: Candidates with strong, comprehensive scheduling and calendar management experience should highlight the complexity and scope of the executive calendars they have managed.
- Availability: Candidates must be available for the full temporary assignment period.
