Overview:

StaffBuffalo is working with a highly professional, global organization in Amherst, NY to hire a Senior Executive Assistant. This full-time, on-site position pays $70,000–$110,000/year and offers the opportunity to serve as a trusted administrative partner to the President and C-Suite in a polished, structured environment where discretion, judgment, and organization are essential.

This role blends high-level executive support with office operations leadership. The Executive Administrative Assistant will manage complex calendars, meetings, communications, and priorities while leading and supporting the Office Services Team. The position also prepares executive and board-level materials, coordinates office workflows and travel planning, and supports special projects and operational problem-solving.

The ideal candidate brings extensive senior executive administrative experience, strong leadership capabilities, exceptional communication skills, and the ability to anticipate needs while handling sensitive information with the highest degree of confidentiality and professional composure.

Responsibilities:

  • Serve as the primary administrative partner to the President and C-Suite, managing complex calendars, meetings, communication, and high-level priorities with discretion and professionalism.
  • Lead and support the Office Services Team to ensure smooth daily operations, exceptional service, and alignment across executive staff.
  • Prepare polished correspondence, presentations, reports, and materials for leadership and board-level meetings.
  • Oversee office procedures, scheduling, workflow coordination, and collaboration on travel planning and operational logistics.
  • Maintain trusted relationships across departments while handling sensitive information with the highest degree of confidentiality.
  • Support executive initiatives, special projects, and problem-solving efforts with a proactive and anticipatory mindset.

Qualifications:

  • 8+ years of senior executive administrative experience, including supervisory or team leadership responsibilities.
  • Highest level of discretion, confidentiality, and professional composure in a formal, polished workplace.
  • Exceptional communication and interpersonal skills, with the ability to work confidently with executives and staff at all levels.
  • Impeccable judgment and reasoning ability, with a proven track record of anticipating needs and resolving issues before they arise.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
