About the Role: We are seeking an organized, detail-oriented Tech Service Coordinator to manage high-volume email communications, coordinate service schedules with outside agency partners (ASAs), and support internal technical workflows. Serving as the primary triage point for incoming technical service requests, this role relies on exceptional Outlook skills, strong administrative organization, and clear, professional communication to keep customer issues moving toward resolution.

Key Responsibilities

  • Inbox & Inquiry Management: Serve as the primary manager for incoming technical service emails and requests, triaging inquiries promptly and routing them to the appropriate technical team members or external service agencies.
  • Service Scheduling & Dispatch: Coordinate daily service schedules, dispatching field technicians and Authorized Service Agencies (ASAs) to resolve commercial oven service needs.
  • Service Network Liaison: Act as the central communication link connecting customers, field technicians, internal departments, and third-party service partners.
  • Warranty Support: Verify equipment warranty status, assist with processing claims, and communicate standard service policies clearly and accurately.
  • Records & System Tracking: Maintain accurate service logs, update work order status in ERP/service software, and ensure customer history and communication records are kept up to date.
  • Administrative Support: Support general departmental workflows, track process metrics, and identify opportunities to improve scheduling and communication efficiency.

Qualifications and Essential Functions

  • Administrative Excellence: Strong background in office administration, high-volume inbox management, scheduling, or customer service coordination.
  • Outlook & Software Proficiency: Advanced skills in Microsoft Outlook (calendar management, rules, folder organization) and proficiency in MS Office; experience with ERP systems or service software is a plus.
  • Organizational Skills: Exceptional ability to prioritize a busy inbox, manage multiple ongoing tasks, and maintain accurate documentation.
  • Clear Communication: Professional written and verbal communication skills with a customer-first approach.
  • Process-Oriented: A methodical approach to administrative tasks and a desire to help improve daily service workflows.
