Location: Richmond, VA — serving Richmond, Henrico, Chesterfield, and Petersburg. This position is based out of BHC’s office at 2108 West Laburnum Ave, Richmond, VA.

POSITION SUMMARY

The Advancement Operations Manager oversees the behind-the-scenes infrastructure that powers Better Housing Coalition’s fundraising efforts. This role manages the donor CRM database (Bloomerang), processes gifts and grants, tracks funding deadlines, analyzes revenue data, coordinates event logistics and donor communications, and supports frontline fundraisers to help the Advancement team meet its financial goals. The Development Operations Manager ensures data integrity, accurate financial reporting, and smooth logistical coordination across campaigns and events, serving as a critical link between the Advancement functions. We're looking for a highly organized, detail-oriented professional with an enthusiastic, can-do attitude who will enjoy being part of a collaborative, fun team.


ESSENTIAL FUNCTIONS

Data & Systems Management

  • Oversee gift entry, receipting, and data integrity within Bloomerang, BHC’s donor CRM.
  • Maintain accurate, up-to-date donor records, including contact information, giving history, and communication preferences.
  • Manage CRM system administration, including user access, data hygiene protocols, and process documentation.
  • Troubleshoot data issues and implement quality-control procedures to safeguard database integrity.
  • Conduct donor and prospect research to inform cultivation, solicitation, and stewardship strategies.

Financial Reporting & Compliance

  • Generate performance dashboards and reports to track fundraising progress against goals.
  • Collaborate with the Finance Department to ensure accurate revenue forecasting and reconciliation of gift records.
  • Ensure compliance with gift acceptance policies, IRS acknowledgment requirements, and grant reporting deadlines.
  • Oversee and manage the grant reporting process, ensuring reports are accurate, complete, and submitted on time to funders.
  • Support audits and financial reviews by providing accurate development records and documentation.

Campaign & Event Logistics

  • Lead events and planning coordination for fundraising and donor cultivation events, from venue and vendor selection through day-of execution.
  • Coordinate timelines, direct mailings, and vendor logistics for fundraising campaigns and events.
  • Partner with the Advancement team to plan and execute donor communications and appeals.
  • Support team leadership in producing donor communications, including hard copy and mailed correspondence such as acknowledgment letters, appeals, and stewardship mailings.
  • Track campaign performance metrics and provide post-campaign analysis.

Project & Team Support

  • Manage cross-functional project timelines related to fundraising initiatives, ensuring deadlines are met.
  • Track grant deadlines and reporting requirements in partnership with the grants team.
  • Coordinate production of BHC's annual report and annual donor list, including gathering content, verifying donor recognition, and coordinating design and print timelines.
  • Provide occasional administrative support to BHC's Young Professionals Board (BHCyp), a group of Greater Richmond-area young professionals who support BHC's mission through service, networking, and fundraising while gaining experience toward future nonprofit board service.   • Support frontline fundraisers with data, reporting, and administrative needs to help meet financial goals.
  • Identify opportunities to improve systems, processes, and workflows within the Advancement department.


MINIMUM EDUCATIONAL & EXPERIENCE REQUIREMENTS

  • Bachelor’s degree in nonprofit management, business administration, finance, or a related field, or equivalent professional experience.
  • Minimum of 3–5 years of experience in development operations, database management, or a related nonprofit fundraising role.
  • Experience with donor CRM platforms required; experience with Bloomerang strongly preferred (Salesforce or Raiser’s Edge experience also considered).
  • Experience working with financial reconciliation or revenue reporting preferred.


MINIMUM SKILL REQUIREMENTS

  • Strong analytical skills with the ability to interpret data and generate actionable reporting.
  • High attention to detail and commitment to data accuracy and integrity.
  • Excellent project management and organizational skills, with the ability to manage multiple deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Excel and donor CRM software (Bloomerang experience a plus).
  • Ability to work collaboratively across departments, including Advancement and Finance.
  • Discretion in handling confidential donor and financial information.
  • An enthusiastic, positive attitude and enjoyment of being part of a collaborative, fun team culture.


PHYSICAL DEMANDS

While performing the duties of this job, the Advancement Operations Manager is regularly required to:

  • Sit for extended periods while working at a computer.
  • Use hands and fingers to operate a computer, phone, and office equipment.
  • Speak clearly and hear well enough to communicate effectively in person and by phone.
  • Occasionally lift or move objects up to 20 pounds (e.g., event materials, mailing supplies).
  • Occasionally travel locally to support campaign or event logistics.
