Administrative & Personal Assistant – Part-Time


Scale Regulators is looking for a motivated, organized, and adaptable Administrative & Personal Assistant to join our growing company.


Scale Regulators is a newer, rapidly growing scale service and sales company. We are looking for someone who wants the opportunity to grow with the business and become a trusted part of the team.


This position will begin part-time with the potential to develop into a full-time role as the company continues to grow.


This is not a position where every day will look exactly the same. We are looking for someone who is comfortable wearing multiple hats, taking ownership of projects, learning new things, and figuring out solutions when something unfamiliar comes up.


Some work may be completed remotely from home, while other days will require working from the Scale Regulators shop to receive deliveries, assist customers or vendors, complete administrative work, and handle other business needs.


Responsibilities May Include


  • Answering and returning business phone calls
  • Preparing and sending customer invoices
  • Receiving and tracking customer payments
  • Basic bookkeeping and maintaining accurate financial records
  • Organizing receipts, expenses, accounts, and company paperwork
  • Filing and maintaining digital and physical records
  • Making bank deposits and completing occasional local business errands
  • Receiving deliveries and shipments at the shop
  • Assisting customers, vendors, and visitors at the shop
  • Researching insurance providers, vendors, pricing, services, and opportunities to reduce company expenses
  • Maintaining customer and vendor information
  • Scheduling appointments and assisting with calendar organization
  • Assisting with employee recruiting, hiring, and onboarding
  • Helping develop and maintain company procedures and organizational systems
  • Assisting with website updates and basic web-related projects
  • Helping manage company social media, advertising, and marketing
  • Assisting with customer follow-up, lead organization, and sales-related activities
  • Researching products, suppliers, services, and business opportunities
  • Assisting the owner with business-related administrative and occasional personal-assistant responsibilities
  • Completing other duties and projects as business needs arise

Because Scale Regulators is still building many of its systems and processes, we are especially interested in someone who is good at figuring things out.


You will not always be handed a detailed instruction manual for every project. We are looking for someone who can research a problem, ask good questions when necessary, find a reasonable solution, and follow through.


Experience with bookkeeping, invoicing, QuickBooks or similar accounting software, Microsoft Office, Google Workspace, social media, website management, sales, or administrative work is helpful but not necessarily required for the right candidate.


Work Environment


This position will include a combination of remote and in-person work.

Some administrative responsibilities may be completed remotely from home. Other responsibilities will require being present at the Scale Regulators shop on designated days.


The employee may also need to complete occasional local business errands, including bank deposits, picking up supplies, or other company-related tasks.


Reliable transportation and the ability to travel locally when required for job duties are important for this position.

Opportunity for Growth


This position will begin part-time, but there is significant opportunity for increased hours and responsibility as Scale Regulators grows.


The right person could eventually transition into a full-time administrative, office management, operations, or supervisory position.


As the company adds employees and technicians, this role may also grow to include additional responsibility for recruiting, onboarding, scheduling, administrative operations, and helping manage other employees.


Growth in this position will be based on business needs, performance, reliability, initiative, and the employee's ability to take ownership of responsibilities and help keep the company organized and moving forward.
