Essential Functions

  1. Processes bi-weekly payroll in a timely and accurate manger including but not limited to:
  • Review electronic timecards and contact various department supervisors for any missed times.
  • Ensure all payroll data is in compliance with applicable regional and country specific payroll regulations and corporate policies.
  • Compile and accurately process other payroll data such as garnishments, vacation time, insurance and 401(k) deductions.
  • Support reporting, tax filing, and vendor requests pertaining to each payroll run.
  • Review and have payroll approved by HR Manager.
  • Distribute payroll checks to department managers.
  • Pull internal management reports from HRO software.
  • Provide financial reports related to payroll and payroll deductions.
  • Address all employee payroll questions and concerns.


  1. Administers health and welfare plans including enrollments and terminations. Benefit programs include: 401 (k) retirement plan, medical/dental/vision, short-term disability, long-term disability, workers' compensation, leave of absence, and flexible spending (Section 125).


  1. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serves as the Cobra Administrator for company.


  1. Assists in conducting new employee orientations at headquarters to ensure employees gain an understanding of benefit plans and enrollment provisions. Counsel employees (and potential employees/applicants) on plan provisions so that individuals can make informed benefit decisions. This includes all levels of employees including executives.


  1. Ensure employee understanding of benefit programs by regularly generating communication and counseling employees/dependents as situations arise. Resolves employee complaints related to health and welfare plans, refers difficult or very complex complaints to manager as needed. Acts as liaison with various insurance carriers and fosters effective relationships with client representatives. Acts as a resource for Payroll/HR contacts to ensure their understanding and compliance with benefit and HR policies and regulations. Keeps management advised of potential problem areas and recommends / implements solutions as appropriate.


  1. Processes monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company. Completes reports for management as requested.


  1. Assist in tracking and administering employee training program.


  1. Ensure accurate and timely filing of all HR documents and maintaining complete confidentiality.


  1. Other projects as assigned by the manager.


Job Requirements:

Qualifications:

  1. 2-3 years of HR and payroll experience
  2. Able to maintain confidential information.
  3. Strong knowledge of automated payroll software is essential (ADP is a plus).
  4. Proficiency in Word and Excel.
  5. Clear written and verbal communications.
  6. Able to organize and write procedures in a logical/methodical manner.
  7. Time management skills.
  8. Excellent attention to detail.
  9. Work well in a team environment.
  10. Bilingual English/Spanish highly preferred.
