Front Office Coordinator

The Center for Pain and Supportive Care is seeking a dependable, professional, and detail-oriented Front Office Coordinator to join our dedicated team. This full-time position plays a vital role in creating a welcoming and efficient environment for our patients and staff.
Qualifications:
- 2–3 years of experience in a front office, administrative, or customer service role
- Strong customer service and communication skills
- Ability to work independently and multitask efficiently
- Proficiency in Microsoft Office Suite and computer keyboard
- Familiarity with EHR systems preferred (but not required)
- Knowledge of insurance plans (HMO, PPO, Medicare, Medicaid) preferred but not required
- Understanding of HIPAA compliance (preferred)
- Highly motivated, reliable, and professional demeanor
- Ability to manage challenging situations and patients with care and tact
- Strategic thinking and problem-solving skills
- Three professional references required
Key Responsibilities:
- Greet and check in patients using the EMR system
- Update and maintain accurate patient demographic and insurance information
- Collect copays, deductibles, co-insurance, and outstanding balances
- Balance collected funds at the end of each day
- Schedule patient appointments and follow-ups using the EHR system
- Answer and direct incoming calls using a multi-line phone system
- Retrieve and return voicemails promptly
- Scan and upload documentation into patient charts
- Distribute faxes, documentation, and messages to the appropriate team members
- Assist patients with digital tablets for completing intake forms and paperwork
- Maintain the cleanliness and organization of the front desk and lobby areas
- Open and close front office daily
- Provide a positive and supportive experience for all patients
- Support the overall flow and operations of the clinic as needed

Center for Pain and Supportive Care is an outpatient pain management clinic specializing in the treatment of both chronic and cancer-related pain.
