Office Administrator for CPA Firm
Job Description
We are seeking an Office Administrator to join our team! You will perform clerical and administrative functions in order to drive company success. We are looking for candidates to reside in the local area.
Schedule:
Monday through Friday, 9:00 AM – 4:00 PM
Please note: Additional hours may be required during tax season (mid-February through mid-April). From Memorial Day through Labor Day, the firm offers summer Friday hours of 9:00 AM – 2:00 PM.
Responsibilities Include:
• Answer incoming phone calls and assist clients professionally
• Schedule appointments and manage calendars
• Process and organize tax returns for clients
• Distribute incoming mail and prepare daily bank deposits
• Maintain accurate filing systems and client records
• Respond promptly to internal and external requests for information
• Assist with bulk mailings and special projects as needed
• Create, organize, and maintain client files
• Pull weekly reports and assist with office supply inventory and ordering
• Provide administrative support to staff as needed
• Help maintain a clean, organized, and professional office environment
• Assist with workflow and project management processes using the firm’s practice management software
• Help track project deadlines, client deliverables, and internal workflow assignments
• Support the team in maintaining organized processes and improving office efficiency
Qualifications:
• Highly organized with strong attention to detail
• Excellent communication and customer service skills
• Ability to multitask, prioritize responsibilities, and meet deadlines
• Comfortable working independently and exercising good judgment
• Strong problem-solving skills and ability to adapt to changing priorities
• Computer savvy with the ability to quickly learn new software and systems
• Proficient in Microsoft Office, including Outlook, Word, and Excel
• Experience with QuickBooks preferred
• Experience with practice management or workflow software is a plus (Financial Cents experience preferred but not required)
• Reliable with a strong attendance record
• Ability to handle confidential information with professionalism and discretion
• Previous administrative or office experience preferred, especially in a professional services, accounting, or tax office environment
