Executive Assistant
Pay Range: $19–$25 per hour
We are looking for an organized, detail-oriented, and proactive Executive Assistant to provide high-level administrative support to company leadership and help keep daily operations running smoothly. This role is ideal for someone who is professional, resourceful, and able to manage a variety of tasks while maintaining strong organization, communication, and follow-through.The Executive Assistant will support leadership with scheduling, communication, document management, and administrative coordination, while helping ensure priorities, deadlines, and day-to-day responsibilities are handled efficiently.
Responsibilities
- Provide administrative support to company leadership and assist with daily business operations.
- Manage calendars, appointments, meetings, and scheduling needs.
- Coordinate calls, meetings, travel arrangements, and other logistics as needed.
- Prepare, organize, and maintain documents, reports, correspondence, and internal records.
- Assist with drafting emails, letters, meeting notes, and other business communications.
- Help track deadlines, follow-ups, action items, and ongoing priorities for leadership.
- Maintain organized filing systems for digital and physical documents.
- Support communication between leadership, internal team members, clients, vendors, and external contacts.
- Assist with handling incoming inquiries, messages, and requests in a professional and timely manner.
- Coordinate office tasks such as filing, scanning, printing, data entry, and document management.
- Help maintain records, logs, and spreadsheets with accuracy and attention to detail.
- Assist with preparing presentations, reports, and materials for meetings or projects.
- Support special projects and research tasks as assigned.
- Help ensure important documents, company information, and administrative records are up to date and readily available.
- Provide general administrative and operational support to help improve efficiency across the office.
- Handle sensitive information with professionalism, discretion, and confidentiality.
Qualifications
- Previous experience in executive support, administrative support, office coordination, or a similar role is preferred.
- Construction office experience is preferred.
- Experience in the construction or electrical industry is a plus, but not required.
- Strong organizational skills and the ability to manage multiple tasks and deadlines at once.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Adobe PDF.
- Experience with scheduling, calendar management, and professional correspondence.
- Ability to communicate professionally with staff, clients, vendors, and leadership.
- Strong problem-solving skills and ability to take initiative when needed.
- Ability to work well independently while also supporting a team environment.
- Professional demeanor and ability to maintain confidentiality.
