Optometric Medical Receptionist (Training Provided)

Pacific Eyecare & Optical is looking for an organized, welcoming, and detail-oriented Optometric Medical Receptionist to join our team in Spokane. As the face of our practice, you will welcome patients, manage check-in and appointment scheduling, navigate vision and medical insurance plans, and help maintain seamless coordination between our front office, optometric pre-testing, and optical dispensary.

Key Responsibilities

• Patient Care & Intake: Warmly greet patients upon arrival, manage check-in/check-out via our Practice Management/EHR software, and collect updated demographic, medical history, and ocular care details.
• Insurance Navigation: Verify both vision plans (e.g., VSP, EyeMed) and medical insurance coverage (e.g., Medicare, commercial plans), determine patient eligibility, collect co-pays/outstanding balances, and explain benefit coverage clearly.
• Scheduling & Reception: Manage multi-line phone calls to schedule routine eye exams, contact lens evaluations, and medical follow-ups, optimizing clinical appointment flow.
• Clinic & Optical Coordination: Liaise between front desk staff, pre-testing technicians, optometrists, and opticians to ensure timely patient hand-offs and smooth clinic flow.
• Administrative Support: Scan patient records, handle incoming/outgoing faxes, process medical records requests while maintaining strict HIPAA compliance, and keep the reception and check-in areas tidy.

Qualifications & Requirements

• Education: High School Diploma or equivalent required.
• Experience: 1+ years of experience in a medical office, optometry/ophthalmology practice, or high-volume retail optical environment preferred.
• Technical Skills: Familiarity with Electronic Health Records (EHR) / practice management software and web-based insurance portal verification.
• Key Traits: Strong communication skills, exceptional attention to detail, ability to multi-task efficiently, and a patient-first service approach.
