SmartHire is looking for a Billing Specialist to join a client in the Kent, WA area. The ideal candidate with have over 3 years of experience of Billing experience, strong QuickBooks knowledge and be able to work in a small team. Transportation/Logistics industry a plus. This is a full time, direct hire role that is fully onsite.

Salary: $27-$30 an hour DOE

Position Summary

The Billing Specialist supports the Accounting and Auditing teams by managing customer billing, weekly driver settlements, financial data entry, and supporting documentation. This role ensures billing and payment information is accurate, complete, and processed on time across QuickBooks and the Transportation Management System (TMS).

The ideal candidate is organized, detail-oriented, comfortable working across multiple systems, and proactive in identifying and resolving discrepancies.

Essential Duties & Responsibilities

Billing & Driver Settlements

·Prepare, review, and submit accurate customer invoices.

·Verify rates, accessorial charges, PODs, manifests, and other required billing documentation.

·Prepare and process weekly independent contractor driver settlements, including deductions and adjustments.

·Respond to driver questions regarding settlements, documentation, and compensation.

·Monitor incomplete billing items and obtain missing information from drivers, Operations, Dispatch, or other team members.

·Assist with customer billing questions, invoice corrections, and collection follow-up.

·Maintain accurate and organized billing and settlement records.

Accounting & Systems Support

·Enter and maintain accurate customer, invoice, payment, and transactional data in QuickBooks.

·Review TMS shipment and load information for billing accuracy and completeness.

·Assist with accounts receivable tracking, reconciliations, and routine accounting tasks.

·Identify discrepancies and coordinate corrections with the appropriate team members.

·Maintain organized financial and supporting documentation.

Auditing & Compliance Support

·Review invoices, shipment records, rates, and supporting documents for accuracy and completeness.

·Identify missing documentation, inconsistencies, and potential errors.

·Assist with documentation requests, internal reviews, and audits.

·Maintain records in accordance with company procedures and retention requirements.

General Responsibilities

·Communicate professionally with customers, drivers, vendors, and internal teams.

·Manage multiple priorities while meeting billing and reporting deadlines.

·Maintain confidentiality of financial, customer, employee, and compensation information.

·Follow established accounting and internal control procedures.

·Support additional billing, accounting, auditing, and administrative responsibilities as needed.

Qualifications

Required

·3+ years of experience in billing, accounts receivable, bookkeeping, accounting support

·Working knowledge of QuickBooks and basic accounting principles.

·Strong computer skills, including Microsoft Excel and Outlook.

·Strong attention to detail, organization, and time management.

·Ability to identify discrepancies and resolve or appropriately escalate issues.

·Strong written and verbal communication skills.

·Ability to work independently while collaborating effectively across departments.

Preferred

·Experience in transportation, trucking, logistics, or freight billing.

·Experience with Transportation Management Systems (TMS) and customer billing portals.

·Familiarity with BOLs, PODs, rate confirmations, accessorial charges, and other transportation documentation.

·Experience supporting auditing or document compliance processes.
