Job Title: Medical Records / HIM Audit Specialist (6 Openings)

Location: Seaside, CA

Pay Rate: $20.00 – $24.00 / hour

Contract Length: 12–16 Months

Schedule: Full-Time, Monday – Friday (8:00 AM – 5:00 PM; flexible start/finish times available after initial training)

Work Environment: Casual (jeans permitted), climate-managed records warehouse

• Prior Medical Records experience with working knowledge of terminal-digit filing/reading systems (required).

About the Role

Option 1 Staffing is currently hiring 6 detail-oriented, capable team members with a medical records background to join a long-term Health Information Management (HIM) project. In this role, you will review, verify, and audit approximately 232,000 physical medical charts to determine proper record disposition (shredding, long-term storage, or routing to the HIM team for electronic upload).

Note: This position involves auditing, data verification, and chart preparation—there is no scanning required in this role.

Key Responsibilities

• Audit and evaluate paper medical charts against activity dates and retention guidelines.
• Navigate and cross-reference records across two Electronic Medical Record (EMR) systems.
• Determine record disposition: prepare files for secure destruction, long-term archiving, or transfer to HIM for digitizing.
• Disassemble, organize, and perform quality checks on files.
• Handle chart retrieval and placement, including lifting and transporting banker boxes (up to 15 lbs) and securely depositing materials into shredding bins.

Candidate Requirements

• Prior Medical Records experience with working knowledge of terminal-digit filing/reading systems (3 months exp. required).
• Familiarity with HIPAA compliance and patient privacy standards.
• Basic computer skills, quick learner.
• High accuracy and attention to detail when cross-referencing dates and file numbers.
• Strong reading, writing, and communication skills in English.
• Physical ability to lift up to 15 lbs, climb stairs, walk, and sit/stand throughout the workday in a warehouse/office setting.
