We are seeking a dependable, organized, and bilingual Administrative Assistant to join our growing team.

The Administrative Assistant will provide essential support to a team of approximately 6–8 employees, ensuring smooth daily operations across multiple departments. Reporting directly to the Department Manager, this role requires excellent organizational, communication, and multitasking skills to coordinate schedules, manage documentation, assist field personnel, and support customers throughout the restoration process.

Responsibilities

  • Answer incoming phone calls and provide exceptional customer service.
  • Manage scheduling and calendar coordination for technicians, inspections, and office staff.
  • Maintain and oversee the weekly work schedule to ensure efficient project coordination.
  • Assist field team members by preparing, sending, and organizing job-related paperwork and documentation.
  • Review documents for accuracy and completeness before submission.
  • Perform accurate data entry and maintain organized digital and physical filing systems.
  • Coordinate meetings and prepare related documentation.
  • Handle correspondence with customers, insurance companies, adjusters, vendors, and subcontractors.
  • Maintain and update project records to ensure accuracy and compliance.
  • Utilize Microsoft Office and industry-specific software to support daily operations.
  • Occasionally travel to local job sites to assist with administrative or project-related needs.
  • Attend mandatory company meetings every Monday at 8:00 AM.
  • Perform additional administrative duties as assigned.

Required Qualifications

  • Must be bilingual (English & Spanish).
  • Reliable transportation with the ability to travel to local job sites as needed.
  • High School Diploma or equivalent.
  • Proficiency with the Microsoft Office Suite (Word, Excel, Outlook).
  • Strong data entry, organizational, and document management skills.
  • Excellent time management and the ability to multitask in a fast-paced environment.
  • Outstanding verbal and written communication skills.
  • Strong customer service and problem-solving abilities.
  • Comfortable sitting for extended periods while answering phones and performing administrative tasks.
  • Ability to work independently while supporting a collaborative team.

Preferred Qualifications

  • Minimum 1 year of administrative support experience.
  • Experience in the water restoration, construction, or property restoration industry is a plus.
  • Familiarity with insurance claims, adjusters, and restoration documentation is preferred but not required.
  • Experience with restoration software such as Xactimate, DASH, Encircle, or similar platforms is a plus.

Employment Information

  • Full-time position
  • Monday through Friday schedule
  • 90-day probationary period for all new employees
  • Compensation ranges from $16.00–$20.00 per hour, depending on experience
