Part-Time Front Desk Receptionist / Administrative Assistant

Position Overview: We are seeking a reliable, professional, and patient-focused part-time front desk receptionist to join our busy chiropractic and nutrition practice. This role is the first point of contact with patients and plays a key part in creating a welcoming experience.
Ideal candidates will have strong administrative and customer service skills.
Experience with (or a genuine willingness to learn) New York Workers’ Compensation processes, including claim documentation, authorization tracking, and basic support for arbitration-related paperwork, is highly preferred and will be trained on the job.
Key Responsibilities
• Greet patients warmly and professionally; manage check-in/check-out and maintain a calm, organized front desk.
• Answer multi-line phones, schedule and confirm appointments, and handle patient inquiries.
• Verify insurance eligibility and benefits (commercial, Medicare, Workers’ Compensation, No-Fault, etc.).
• Collect co-pays, process payments, and assist with basic billing and claims follow-up.
• Support Workers’ Compensation cases: gather required documentation, track authorizations, maintain accurate case files, and coordinate with providers, attorneys, and carriers as directed.
• Maintain electronic health records, update patient demographics, and ensure HIPAA compliance.
• Coordinate referrals, prepare patient charts, and support the clinical team with day-to-day office flow.
• Perform general administrative duties (filing, scanning, ordering supplies, light cleaning of reception area).
• Uphold the office’s commitment to excellent patient care and a professional atmosphere.
Qualifications
• High school diploma or equivalent required; medical office or healthcare administrative experience preferred.
• Strong interpersonal and communication skills; ability to remain calm and professional with diverse patients.
• Comfortable Learning Workers’ Compensation rules, guidelines, and documentation requirements specific to New York State and NYC.
• Proficiency with computers, electronic health records, and basic office software; willingness to learn practice management systems.
• Excellent organization, attention to detail, and ability to multi-task in a fast-paced environment.
• Reliable, punctual, and team oriented.
• Bilingual (English/Spanish) is a plus.
Schedule & Compensation Part-time position. Hours will be coordinated around the practice’s operating schedule (typically daytime and some evening/Saturday coverage as needed). Competitive hourly rate based on experience.
