Job Description

Functional Medicine Practice | El Segundo, California

Preferred experience in the functional/integrative medicine arena!

Are you a compassionate, organized, and hardworking person who genuinely enjoys helping others?

Our Functional Medicine practice in El Segundo, California is looking for an exceptional New Patient Coordinator to join our team. This is an important role in our practice—you will often be the first person a new patient connects with, and we want that experience to feel warm, caring, professional, and supportive from the very beginning.

We are looking for someone who understands that excellent patient care isn't just about completing tasks. It's about listening, being patient, showing compassion, and helping people feel that they are truly cared for.

Who We're Looking For

Our ideal New Patient Coordinator is:

  • Compassionate and caring – You genuinely enjoy helping people and making them feel comfortable.
  • Patient and understanding – You can listen carefully and communicate with kindness, even when someone is overwhelmed or has many questions.
  • Highly organized – You are excellent at keeping track of details, appointments, follow-ups, paperwork, and multiple priorities.
  • A strong multitasker – You can confidently manage phone calls, emails, scheduling, patient questions, and administrative responsibilities throughout the day.
  • Hardworking and dependable – You take ownership of your responsibilities, follow through, and are someone your teammates can count on.
  • Detail-oriented – You notice the little things and understand how important accuracy is in a medical practice.
  • A strong communicator – You are warm and professional both on the phone and in written communication.
  • A team player – You are willing to jump in, help where needed, and contribute to a positive and supportive work environment.
  • Comfortable with technology – You are able to learn and confidently use scheduling systems, electronic medical records, email, and other office technology.

Responsibilities

As our New Patient Coordinator, you will help guide prospective and new patients through the beginning of their experience with our practice. Responsibilities may include:

  • Answering new patient phone calls and inquiries with warmth and professionalism
  • Educating prospective patients about our practice and the new patient process
  • Scheduling new patient appointments
  • Following up with prospective and new patients
  • Coordinating intake forms, records, and other required information
  • Responding to phone, email, and patient portal communications
  • Maintaining accurate patient information and documentation
  • Helping patients understand what to expect before their first appointment
  • Communicating with providers and other members of our team
  • Assisting with administrative and front-office responsibilities as needed
  • Making sure every new patient feels welcomed, supported, and cared for

What Matters Most to Us

Experience in a medical office is helpful, and experience in Functional, Integrative, or Concierge Medicine is a plus. However, we also place tremendous value on character, attitude, work ethic, and the way you treat people.

We can teach systems and processes. What is harder to teach is genuine compassion, patience, personal responsibility, and the desire to provide an exceptional experience for every patient.

Our patients often come to us after a long health journey. We want someone who recognizes that the person on the other end of the phone isn't simply another appointment on the schedule—they are someone looking for help.

If you are kind, organized, resourceful, hardworking, detail-oriented, and energized by helping people, we would love to meet you.

To Apply

Please submit your resume along with a brief introduction telling us why you are interested in Functional Medicine and why you believe you would be a great fit for this position.

We look forward to hearing from you!
