We are seeking an experienced, collaborative, and service-focused Employee Benefits Manager of Special Accounts to lead our Special Accounts team and shared book of small business employee benefits clients.

Position Overview
Responsible for leading the Employee Benefits Special Accounts team and overseeing the service, renewal, workflow, and operational management of the team’s shared book of business.
The Employee Benefits Manager of Special Accounts provides day-to-day leadership, establishes clear service and workflow expectations, monitors workload and quality, develops team members, and ensures clients receive consistent, timely, and knowledgeable support.
This position works closely with Producers, Account Executives, carriers,vendors, and internal stakeholders to maintain strong client service, accurate account documentation, efficient renewal execution, and operational consistency across the department.
Principal Duties and Responsibilities
- Lead and supervise the Employee Benefits Special Accounts team, establishing clear expectations for client service, workflow management, documentation, accuracy, responsiveness, and accountability.
- Oversee the service and renewal management of the team’s shared book of small business Employee Benefits clients.
- Monitor team workload, outstanding activities, upcoming renewals, client requests, and service priorities to ensure work is appropriately distributed and completed timely.
- Ensure clients receive prompt,courteous, knowledgeable, and consistent service throughout the client's lifecycle.
- Oversee renewal preparation and execution, including timely collection of client information, carrier and vendor submissions, quote and proposal preparation, follow-up, an completion of required renewal activities.
- Monitor client and carrier interactions to ensure work aligns with agency procedures and minimize potential errors and omissions exposure.
- Ensure accurate and timely preparation, processing, and delivery of applications, policy documents, enrollment materials, renewal documents, and other benefit-related service items.
- Maintain oversight of Applied Epic data quality, activity documentation, policy information, contacts, premiums, coverage details, attachments, and other account records.
- Establish and reinforce clear documentation standards so client files accurately communicate account status, actions taken, outstanding needs, and next steps.
- Monitor outstanding renewal items, policy changes, service requests, client communications, and follow-up activity to prevent delays or missed deadlines.
- Provide guidance and escalation support for complex client, carrier, vendor, workflow, or service issues.
- Maintain productive working relationships with carriers, vendors, Producers, Account Executives, clients, and internal departments.
- Identify process gaps, workflow inefficiencies, training needs, and service risks and proactively develop solutions.
- Develop and maintain consistent department procedures, workflows, job aids, and resources.
- Ensure team members maintain current knowledge of Employee Benefits terminology, applicable coverage concepts, carrier requirements, agency systems, workflows, and department procedures.
- Create and maintain role-specific training and development plans for employees, including intentional shadowing, practice, competency validation, and progression toward independent work.
- Conduct regular individual and team meetings to review workload, priorities, performance, training needs, challenges, and department goals.
- Provide ongoing coaching, feedback, recognition, and performance management to employees.
- Monitor employee performance and work quality, identify concerns promptly, and partner with Human Resources regarding coaching, documentation, development, or corrective action when appropriate.
- Support hiring, onboarding, and development of new employees within the department.
- Encourage cross-training and knowledge sharing to strengthen team capability and reduce single points of dependency.
- Evaluate service trends and departmental needs and recommend improvements to strengthen client experience, retention, efficiency, and team performance.
- Support identification of cross-sell, rounding, retention, and book-development opportunities.
- Partner with leadership on department priorities, operational improvements, staffing needs, technology utilization, and other organizational initiatives.
- Demonstrate consistent leadership presence, accountability, sound judgment, and alignment with CNIS values.
Requirements
The ideal candidate will have:
- Minimum of 5 years of Employee Benefits insurance experience, including account management, client service, renewal management, or related responsibilities.
- Prior experience supervising leading, training, or developing employees strongly preferred.
- Strong working knowledge of Employee Benefits terminology, carrier processes, renewal workflows, client service expectations, and insurance agency operations.
- Experience managing a book of business or shared service workgroup.
- Demonstrated ability to organize and prioritize team workload while monitoring deadlines, service standards, and outstanding responsibilities.
- Strong understanding of documentation, quality control, and errors and omissions considerations within an insurance environment.
- Strong written and verbal communication skills with the ability to interact professionally with clients, carriers, vendors, employees, and organizational leadership.
- Demonstrated ability to coach employees, provide constructive feedback, establish expectations, and support employee development.
- Strong analytical and problem-solving skills with the ability to identify operational needs and proactively develop solutions.
- Strong attention to detail, organization, follow-through, and accountability.
- Ability to work effectively in a remote environment and intentionally create communication, connection, oversight, and collaboration across the team.
- Proficiency with Microsoft Office Suite and insurance agency management systems; experience with Applied Epic is strongly preferred.
- Experience with benefits administration or enrollment technology is preferred.

Licensing
Current possession of a valid California Life, Accident & Healthinsurance license is required.
