We are looking for a dependable Receptionist to support daily operations in our office through a 3-month contract assignment. This position combines front desk coordination, administrative support, vendor onboarding assistance, and office relocation preparation, making it ideal for someone who is highly organized and comfortable managing multiple priorities. The role requires a detail-oriented approach, strong communication skills, and the ability to keep workplace services, meetings, and records running smoothly in an on-site environment.
Responsibilities:
• Welcome employees, visitors, and service providers with a courteous and detail-oriented approach while serving as the primary point of contact at the front desk.
• Receive deliveries, accept packages, sort incoming mail, and distribute or scan documents to the appropriate recipients in a timely manner.
• Monitor workplace supply levels by preparing recurring lists for groceries, office materials, and other essential items needed for day-to-day operations.
• Keep shared spaces such as kitchens and conference rooms orderly, and coordinate room scheduling, meeting setup, catering, access arrangements, and post-meeting cleanup.
• Submit and track visitor, maintenance, and janitorial requests through the tenant portal to help maintain a safe and functional office environment.
• Support site safety procedures by acting as a floor warden and assisting with emergency response coordination when needed.
• Assist with planning and execution for the local office relocation, including records handling, move logistics, service shutdowns, address change communications, and oversight of packing activities.
• Gather quotes from external providers for moving-related needs such as supplies, waste removal, and other materials handling services tied to the office transition.
• Help onboard new suppliers by explaining required documentation, entering setup details into designated platforms, and communicating status updates to internal stakeholders.• Prior experience in reception, administrative support, or office coordination within a business setting that values attention to detail.
• Strong customer service and interpersonal skills, with the ability to interact confidently with employees, guests, vendors, and building personnel.
• Proven ability to manage multiple tasks at once, stay organized, and maintain attention to detail in a fast-paced office environment.
• Proficiency with Microsoft Office 365, including Outlook, Word, and Excel, along with comfort using web-based portals and ticketing tools.
• Experience supporting meeting logistics, mail handling, document scanning, and general office supply coordination.
• Ability to communicate clearly in writing and verbally, including sending notifications and coordinating with external suppliers and internal teams.

• Availability to work on site in Boston, Massachusetts for the full 3-month Contract assignment.
