We are looking for an experienced Senior Administrative Assistant to provide high-level support to a department leader and administrative assistance to a broader team. This contract position is ideal for someone who thrives in a fast-paced environment, manages competing priorities with confidence, and communicates effectively with both internal and external contacts. The role centers on executive scheduling, correspondence coordination, and day-to-day office support while ensuring sensitive matters are handled with sound judgment and discretion.


Responsibilities:

• Support the department executive with daily administrative needs and help keep priorities, communications, and follow-up activities organized.

• Oversee a complex calendar by arranging appointments, adjusting schedules, and ensuring meetings are planned efficiently.

• Serve as a first point of contact for incoming calls and inquiries, directing requests appropriately and responding in a thoughtful manner.

• Organize a high volume of meetings and department-related appointments

• Prepare and manage correspondence, conference calls, and travel arrangements while maintaining accuracy and timeliness.

• Handle confidential records and sensitive information with discretion and a high level of care.

• Communicate effectively with external offices and support department operations.

• Monitor office supply levels and assist with routine operational tasks that help the department run smoothly.

• Provide additional administrative support as business needs change, including assistance with documentation and special projects.

• Help maintain organized files and records, including materials related to import and export documentation when required.

• Previous experience providing executive-level or senior administrative support in an office setting.
• Strong ability to manage calendars, coordinate meetings, and handle multiple tasks with careful attention to detail.
• Excellent verbal and written communication skills, with the ability to interact effectively with varied audiences.
• Proven judgment in working with confidential or sensitive information.
• Solid organizational and time-management skills in a busy, deadline-driven environment.
• Proficiency with common administrative tasks such as conference call coordination, travel booking, and document preparation.
• Ability to learn department procedures quickly and adapt to changing priorities.
• Strong presence and a service-oriented approach to supporting leadership and team operations.
