Position Summary

The Administrative Coordinator provides administrative, operational, and guest service support for the Snowsports School, serving as a primary point of contact for guests, instructors, and department leadership. This role is responsible for delivering exceptional guest experiences, coordinating lesson scheduling, processing registrations and sales transactions, maintaining accurate records and reports, and supporting daily department operations. Working closely with the Director of Education and Supervisory team, the Administrative Coordinator helps ensure efficient operations, strong communication, and a welcoming environment while promoting a culture of teamwork, professionalism, safety, and continuous improvement.


Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:


Guest Services

  • Greet and assist guests with professionalism and friendliness.
  • Answer and direct incoming phone calls, providing helpful support.
  • Promote and exemplify a culture of exceptional guest service, teamwork, innovation, and positivity.
  • Ensure guests and employees enjoy a fun, safe, and memorable experience by asking questions, sharing ideas, and contributing to improvements.


Administrative Support

  • Provide administrative and clerical support to the Director of Education and Snowsports School. management team, including data entry, filing, record maintenance, and document preparation.
  • Assist with departmental communications, scheduling, and other administrative functions to support daily operations.
  • Maintain organized records and ensure accurate and timely completion of administrative tasks.
  • Perform other duties as assigned to support the success of the Snowsports School.


Operations & Recordkeeping

  • Perform lesson booking sales transactions using a computerized point-of-sale (POS) system.
  • Receive and process payments for lessons and programs, ensuring accuracy and proper handling of funds.
  • Perform daily sales entry using a computerized point-of-sale (POS) system.
  • Accurately enter, process, and maintain customer identification and documentation to ensure compliance and organized recordkeeping.
  • Maintain operating records and prepare daily sales reports for submission to the accounting clerk.
  • Assist with scheduling customers and instructors for Snowsports School lessons and programs.


Teamwork & Professionalism

  • Demonstrate professionalism and flexibility, working both independently and as part of a team.
  • Model exceptional guest service, teamwork, professionalism, and safety awareness. Assist colleagues across departments as needed, support a positive and inclusive culture, and contribute ideas to enhance operations.
Minimum Qualifications (Knowledge, Skills, and Abilities)


  • Must be at least 18 years of age.
  • Must pass a pre-employment background check.
  • Must be able to accommodate scheduling expectations, including weekend and evening hours
  • Excellent oral and written communication skills.
  • Excellent customer relationship skills.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of students.

Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. While performing the duties of this job, the employee is regularly exposed to outside weather conditions. The noise level in the work environment is usually low to moderate.
