Role Overview

The IT Systems & Equipment Onboarding and Decommissioning Specialist is responsible for managing the end-to-end lifecycle of technology systems, hardware, and computer equipment. This role ensures that new systems and equipment are properly deployed, configured, documented, and integrated into the organization's IT environment while ensuring outdated, retired, or replaced technology is securely decommissioned.


Key Responsibilities

  • Coordinate the onboarding of new computers, laptops, servers, applications, and IT systems.
  • Configure and provision hardware, software, user accounts, access, and security requirements.
  • Maintain accurate asset inventories, system records, and configuration documentation.
  • Coordinate equipment deployment, replacement, transfers, and user assignments.
  • Partner with IT, cybersecurity, infrastructure, application, and business teams to ensure successful implementations.
  • Follow established change-management, testing, security, and compliance procedures.
  • Decommission retired systems and equipment in accordance with organizational policies.
  • Remove systems from networks, applications, monitoring tools, and management platforms when appropriate.
  • Ensure company data is securely removed or sanitized before equipment is retired, transferred, or disposed of.
  • Coordinate the return, disposal, recycling, or reassignment of IT assets.
  • Update asset-management and configuration-management records throughout the technology lifecycle.
  • Identify and escalate risks, discrepancies, access issues, or equipment failures.
  • Create and maintain onboarding and decommissioning procedures, checklists, and supporting documentation.
  • Provide status updates and coordinate timelines with stakeholders to minimize business disruption.
