About the Role
A year into this role, you'll have a firm handle on the store's day-to-day operations: inventory that's accounted for down to the piece, shipments and receiving that never fall behind, a smooth-running front office, and a team that comes to you when they need something handled. You'll work closely with ownership and store staff, trusted to keep the administrative heartbeat of the business steady — so every customer's moment goes off without a hitch.
What You'll Do
- Keep the office humming — manage basic administrative tasks and scheduling
- Coordinate with vendors and suppliers on ordering, invoicing, and repair/custom-order timelines
- Own inventory control — receiving, tagging, tracking, and reconciling stock across the showroom and safe, down to the last diamond
- Handle shipping and receiving for repairs, special orders, and vendor shipments, so nothing sparkly gets lost in transit
- Plan and run in-store events, from trunk shows to holiday celebrations, handling the logistics start to finish
- Keep our social media feeds sparkling with periodic posts that support our marketing efforts
- Oversee office and store supplies, equipment, and day-to-day facilities needs
- Be the friendly voice on the phone — handling calls, appointment scheduling, and customer correspondence
What We're Looking For
We need someone who's equal parts organized and easygoing — jewelry is emotional; the back office shouldn't be.
Required
- 2+ years of experience in office management, retail operations, or administrative operations
- Experience with inventory management and point-of-sale systems
- Strong organizational skills and comfort juggling multiple priorities in a small-team environment
- Clear, professional communication skills, both in person and over the phone
- Comfort with general office software (Microsoft Office or Google Workspace)
Preferred
- Experience in jewelry, luxury retail, or another high-value retail environment
- Familiarity with payroll processing and basic HR administration
- Experience working directly with vendors or suppliers on ordering and logistics
- Experience managing social media accounts or coordinating in-person events
