Bilingual Customer Service & Technical Documentation Coordinator

Position Overview
We are seeking a highly organized, detail-oriented Customer Service & Technical Documentation Coordinator to support a growing manufacturing operation serving the food, dietary supplement, ingredient, and related industries.
This is not a traditional call-center customer service position. The person in this role will work primarily in the main office while serving as an important link between customers, office operations, and the production team.
A major part of the position involves working with customer information, production-related documentation, records, orders, and other detailed paperwork where accuracy and follow-through are extremely important.
The right person does not necessarily need to know everything on day one. We are looking for someone who is intelligent, technically minded, highly trainable, and comfortable learning the terminology, products, processes, and documentation requirements of a specialized manufacturing environment.
Primary Responsibilities
- Provide professional customer service and administrative support to customers and internal departments.
- Prepare, review, organize, update, and maintain customer and production-related documents.
- Assist with documentation and information needed by the production team to accurately process customer requirements and orders.
- Enter and maintain accurate information in QuickBooks and other company records and systems.
- Work extensively with Microsoft Office, including Excel, Word, Outlook, and related applications.
- Review documents carefully for missing, inconsistent, or incorrect information before they move forward.
- Maintain organized electronic and physical files and ensure documentation can be quickly located when needed.
- Communicate with customers regarding orders, documentation, product information, status updates, and other requests.
- Coordinate with production, management, quality, and other internal personnel to gather information and resolve questions.
- Learn company products, terminology, manufacturing processes, and documentation requirements.
- Handle multiple priorities while maintaining a high level of accuracy and follow-through.
- Assist with additional administrative, customer service, and operational responsibilities as the company continues to grow.
What We're Looking For
- Previous experience using QuickBooks in a professional environment.
- Strong working knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
- Exceptional attention to detail and documentation accuracy.
- Strong written and verbal communication skills.
- Comfortable working with numbers, specifications, product information, and detailed documentation.
- Ability to learn technical information and understand how office documentation relates to production activities.
- Strong organizational skills with the ability to manage multiple responsibilities without losing track of details.
- Dependable, professional, coachable, and receptive to training and feedback.
- Someone who takes ownership of their work and follows tasks through to completion.
Highly Preferred
Experience in food manufacturing, dietary supplements, nutraceuticals, ingredients, pharmaceuticals, cosmetics, chemicals, medical products, or another quality-controlled manufacturing environment is highly desirable.
Previous exposure to any of the following would be especially valuable:
- Production or manufacturing documentation
- Document control
- Quality-related records
- Certificates of Analysis (COAs) or product specifications
- Lot/batch documentation or traceability
- Purchase orders and sales orders
- GMP or other regulated manufacturing environments
- Customer service within a manufacturing or distribution company
