Personal & Executive Assistant to CEO
Menlo Park, CA | $140,000–$150,000 Base + Equity + Benefits
Our client is a mission-driven, high-growth technology startup transforming the HR space through an innovative platform trusted by leading organizations. As the company continues to scale, they are seeking a polished, resourceful, and highly discreet Personal & Executive Assistant to provide comprehensive support to their CEO.
This is a true right-hand role with an approximately 70% personal / 30% executive support focus, with a strong emphasis on managing the CEO's personal life, family logistics, travel, household needs, and day-to-day priorities while also providing high-level executive support. The ideal candidate is proactive, service-minded, exceptionally organized, and thrives in a fast-paced startup environment where no two days are the same.
This position is fully onsite and will support the CEO across Menlo Park, San Francisco, and surrounding Peninsula locations. The schedule may vary based on the CEO's location and needs, with the majority of time expected in Menlo Park and occasional support in San Francisco.
What You'll Do
Personal & Lifestyle Support
- Manage the CEO's personal calendar, appointments, family commitments, and day-to-day logistics
- Coordinate personal and family travel, including flights, hotels, transportation, dining reservations, and detailed itineraries
- Handle personal errands, gifting, special requests, and ad hoc projects with urgency and discretion
- Assist with household operations, including vendor management, service appointments, maintenance coordination, and home-related projects
- Serve as the primary point of contact for personal matters, ensuring seamless execution and follow-through
- Anticipate needs before they arise and proactively solve problems with minimal direction
- Coordinate family events, celebrations, reservations, and other lifestyle-related activities
- Drive for personal errands and other tasks as needed
Executive Support
- Manage a complex and ever-changing calendar, balancing business priorities, meetings, travel, and external commitments
- Coordinate domestic and international business travel, including detailed logistics and expense management
- Prepare materials for board meetings, leadership meetings, investor presentations, and strategic initiatives
- Draft, manage, and respond to correspondence on behalf of the CEO
- Act as a trusted liaison between the CEO and internal stakeholders, investors, partners, customers, and external contacts
- Track action items and ensure follow-up on key business initiatives
- Assist with company events, leadership offsites, strategic sessions, and special projects as needed
- Support operational and administrative initiatives as the company continues to scale
What We're Looking For
- 3–7+ years of experience supporting a CEO, founder, senior executive, or high-profile principal in a Personal Assistant, Executive Assistant, or hybrid capacity
- Experience balancing significant personal and professional responsibilities, with a willingness to take on a heavier personal-assistance workload
- Experience supporting a startup, technology company, corporate environment, or principal with business entities strongly preferred
- Strong experience managing personal affairs, family logistics, travel planning, household needs, and lifestyle coordination
- Demonstrated ability to build a trusted partnership with a senior executive and operate with a strong executive presence
- Strong judgment and confidence to appropriately push back, set boundaries, and communicate trade-offs when priorities compete
- Ability to assess what can realistically be accomplished, proactively flag conflicts, and recommend when priorities should be adjusted or deprioritized
- Exceptional discretion, professionalism, emotional intelligence, and sound judgment when handling confidential and sensitive information
- A service-oriented mindset with a genuine passion for helping others
- Outstanding organizational, multitasking, and problem-solving abilities with exceptional attention to detail and follow-through
- Excellent written and verbal communication skills
- Resourceful, proactive, and capable of operating independently with minimal direction
- Comfortable managing a high volume of requests and shifting priorities in a fast-paced startup environment
- 24/7 mindset and flexibility, including responsiveness outside standard business hours when required
- Tech-savvy and proficient with Google Workspace, Slack, Notion, and related tools
- Bachelor's degree required
- Valid driver's license and reliable personal vehicle required, with willingness and ability to drive throughout the Peninsula and San Francisco for errands and other responsibilities
- Ability to commute between Menlo Park, San Francisco, and surrounding Peninsula locations; fully onsite five days per week
