We are looking for a highly organized Operations Specialist to support philanthropy and development operations for a mission-driven nonprofit in Sunnyvale, California. This Long-term Contract position is ideal for someone who enjoys managing data, coordinating administrative activities, and helping maintain strong donor support processes. The role offers the opportunity to contribute to fundraising efforts, reporting, and outreach while working in a collaborative environment focused on meaningful impact.


Responsibilities:

• Maintain and update donor and constituent information within the organization’s CRM system, ensuring records remain complete, accurate, and current.

• Enter and process contributions, pledges, and related donor details promptly while following established documentation standards.

• Prepare fundraising reports, mailing files, and data exports to support development planning and campaign execution.

• Draft and organize donor acknowledgements, tax documentation, and routine correspondence for timely follow-up.

• Assist with annual giving initiatives, stewardship activities, and donor communications across multiple outreach efforts.

• Coordinate administrative tasks such as filing, record retention, list organization, and general support for the development team.

• Support direct mail and engagement projects by helping assemble materials and manage distribution logistics.

• Conduct basic research on donors and prospects to help inform outreach strategies and relationship-building efforts.

• Provide administrative coordination for donor events and other engagement activities as needed.

• At least 2 years of experience in administrative support, fundraising operations, donor services, or a related function.
• Hands-on experience using a donor database or CRM platform such as Raiser's Edge, Salesforce, Blackbaud, DonorPerfect, Neon, or a comparable system.
• Strong data entry capabilities with a high level of accuracy and attention to detail.
• Experience creating reports, organizing records, and working with data-driven processes.
• Proficiency in Microsoft Office applications, especially Excel.
• Clear written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
• Ability to manage multiple assignments independently while staying organized and meeting deadlines.
• Previous experience in a nonprofit, educational, foundation, or other mission-focused environment is preferred.
