Office Administrator
Job Description
We are seeking an Office Administrator to oversee a variety of daily operations ranging from highly technical to ordinarily routine. Successful candidates must be proficient in database entry and Microsoft Office (NO EXCEPTIONS). This is a multifaceted position requiring elevated computer skills and database knowledge, impeccable organization and the willingness to perform traditional routine office tasks.
Database/Computer Duties:
- Enter data from multiple sources in Project Management Software (ProCore)
- Scan, convert and edit Word and PDF documents.
- Utilize Excel to keep track of vehicles, hotel, inventory and employee information.
- Communicate through Microsoft Outlook and Teams.
- Use Procore, Microsoft and Adobe to generate and maintain monthly billing. (NO QUICKBOOKS).
Human Resources:
- Handle onboarding and offboarding of employees.
- Maintain Employee Directory in Excel (this includes hiring, benefits and training data).
- Coordinate and implement Employee Benefit Enrollments.
- Book and keep track of all employees travel through commercial website (Engine) and individually through hotel chain.
Employee Training & Badging:
- Assist with setting up and tracking Employee OSHA training and Badging.
- Maintain Safety Records in Excel, Word, PDF and Sharepoint.
Event Planning:
- Plan company events in coordination with GM.
- Schedule and organize Christmas gifts for customers.
- Organize Christmas party and all necessary items.
- Order company apparel
Administrative Duties:
- Assist General Manager and keep him informed on job and office issues.
- Manage all incoming phone calls, mail and deliveries (may include using a forklift).
- Maintain an orderly office, warehouse, and yard area (office supplies, copier, dumpster service, coffee service, HVAC vents, lights, etc.).
Qualifications:
- 2+ years clerical/administrative experience, preferably in the construction industry.
- Excellent computer skills with proficiency in MS Office products (Word, Excel, PowerPoint, etc.) and Database Entry and Adobe; proficiency test required.
- Ability to work in a fast-paced environment, multitask, and meet critical deadlines with accuracy and attention to detail.
- Ability to work effectively with all levels of project staff and leadership.
- Experience with payment requests and lien waivers preferred.
- Must be able to lift 25 lbs.
