POSITION SUMMARY


The Project Coordinator is the heartbeat of our execution team and the driving force behind successful project delivery at Vested Networks. This is not a passive monitoring role. This person owns project lifecycles, runs a tight timeline and resource program, and proactively drives project milestones across our book of business. We’re looking for someone authoritative and clear in communication, obsessively detailed behind the scenes, and incapable of letting a deadline slip—someone who takes initiative without being asked and treats project delivery like their own business.


ESSENTIAL JOB FUNCTIONS


  • Own the Customer Onboarding Lifecycle: Lead the entire onboarding process autonomously from kickoff through delivery, taking total ownership of project gaps without needing outside influence.
  • Master Schedule Coordination: Manage the complex scheduling of customers, external vendors, and the Vested Networks installation team to ensure flawless execution.
  • Enforce Timelines and Resource Allocation: Monitor team capacity, oversee daily assignments, and handle install details with extreme punctuality to maximize project efficiency.
  • Coordinate Porting & Internet Ordering: Process internet orders and coordinate complex number porting requests, strategically timing them to align with the installation schedule.
  • Drive Cross-Functional Alignment: Maintain clear, proactive communication across engineering, sales, operations, vendors, and the customer to build collaborative project relationships.
  • Run Tight Follow-Up Programs: Keep all stakeholders accountable to deadlines, following up rigorously with customers to guarantee installations are completed exactly as promised.
  • Proactively Manage Risks & Escalations: Identify project bottlenecks or deployment delays early, implementing corrective action plans that outpace competitor quality and value.
  • Maintain Detailed Records: Log projects, sign and store customer documentation, handle change orders, and track post-project reviews obsessively to ensure data integrity.
  • Deliver Executive Status Reports: Communicate project health, risks, and critical deployment milestones to leadership with a positive, professional, and results-oriented attitude.
  • Contribute to Team & Operational Growth: Support internal colleagues by sharing ideas, collaborating on challenges, and actively driving process improvements for Vested Networks' operations.

REQUIREMENTS


  • High school diploma or GED.
  • Valid Drivers License
  • Proficiency with HubSpot (or similar CRM), Google Drive, and standard office software.
  • Experience with multi-line phone systems and managing customer communications.
  • Previous customer service, customer success, retention, or sales support experience preferred. Escalation experience is a strong plus.

COMPENSATION & BENEFITS


  • Starting at $45,000 - $50,000 commensurate with experience
  • 401(k) with employer matching, medical and vision insurance, paid time off, and supplemental insurance available.

  • Full-time, Monday–Friday, on-site in Lewisville, TX 75057
