Supply Chain Associate
Job Description
Shipping & Logistics Management
- Manage all domestic and international shipments from order processing through final delivery.
- Coordinate shipments with carriers including DHL, UPS, FedEx, freight forwarders, and other logistics providers.
- Prepare and review shipping documentation including:
- Commercial invoices
- Packing lists
- Certificates of origin
- Export documentation
- Customs paperwork
- Ensure shipments comply with international shipping requirements, import/export regulations, and customer requirements.
- Track shipments and proactively resolve delivery issues, customs delays, and carrier problems.
- Coordinate returns, repairs, RMAs, and replacement shipments.
- Maintain shipping cost records and improve logistics tracking processes.
- Manage relationships with freight carriers and negotiate shipping solutions when needed.
Order Fulfillment & Inventory Coordination
- Coordinate incoming and outgoing product shipments with suppliers and customers.
- Maintain accurate inventory records and assist with inventory management.
- Receive, inspect, organize, and prepare products for shipment.
- Support order processing from sales confirmation through delivery.
- Ensure customer orders are fulfilled accurately and efficiently.
Office Administration & Operations
- Manage daily office operations to maintain an organized and efficient workplace.
- Coordinate office supplies, equipment, vendors, and facility needs.
- Handle administrative tasks including document organization, filing, and record management.
- Support company processes and improve internal workflows.
- Assist with scheduling, meetings, and general office coordination.
- Serve as a point of contact for vendors, service providers, and visitors.
Process Improvement
- Identify opportunities to improve operational efficiency and reduce errors.
- Create and maintain standard operating procedures (SOPs) for shipping and office processes.
- Help implement systems for better tracking of orders, inventory, and documentation.
- Support continuous improvement initiatives across company operations.
Physical and Work Requirements
- Ability to work on-site in Cambridge, Massachusetts.
- Ability to receive, inspect, organize, pack, and prepare products for shipment.
- Ability to lift and move packages weighing up to 50 lbs, with or without reasonable accommodation.
