FUNCTION: The Document Controller is responsible for managing, organizing, and overseeing the flow of documents in the company to ensure that all records are properly stored, tracked, and compliant with organizational standards and regulations.
To support document control activities, the Document Controller is responsible for maintaining and retaining quality records in accordance with company procedures. They are responsible for managing, organizing, and overseeing the flow of documents to ensure that all records are properly filled out, accurate, tracked, stored, compliant with organizational standards and regulations, and easily accessed. This role plays a critical part in maintaining the integrity of all documents, including contracts, technical documents, drawings, work orders, procedures, and other Engineering and Quality records.

DUTIES & RESPONSIBILITIES:
- Maintain a systematic document filing system, ensuring easy access and retrieval of records.
- Ensure all documents are accurately labelled and filed according to the organization’s document control procedures.
- Ensure all documents comply with industry standards, and regulatory requirements.
- Monitor version control of documents, ensuring the most up-to-date forms are always in use.
- Draft various internal working documents such as forms and work orders.
- Coordinate document reviews, approvals, and revisions with relevant stakeholders.
- Communicate effectively with stakeholders to resolve document discrepancies and clarify document-related queries.
- File and log project, quality documents and work orders.
- Collaborate with Project Managers to formally transmit documents to customers in accordance with contract and submittal requirements.
- Support team members with a goal of delivering final document deliverables to customers.
- Support document control audits by responding to interview questions and providing requested documents and records.
- Other duties as needed.
QUALIFICATIONS & EXPERIENCE:
- Bachelor's degree in business, English, journalism, communications or marketing is preferred.
- Must be able to work in a fast-paced environment while coordinating multiple projects and deadlines.
- Minimum of five (5) years of related experience with a minimum of three (3) years of experience in construction, engineering, or government contracting.
- Excellent technical writing, grammar, and editing skills.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Windows operating systems.
- Deltek Costpoint or similar ERP Deltek software experience a plus.
PHYSICAL REQUIREMENTS: Must be able to work on a computer (standing or sitting) for most of the day and operate standard office equipment. The ability to communicate effectively in writing and verbally with team members, customers and vendors is essential. Occasionally lift and carry items, typically under 25lbs.
TYPICAL WORKING CONDITIONS: Office environment with occasional exposure to the fabrication/machine shops.
ACCESS TO RESTRICTED INFORMATION: This role requires immediate and routine access to restricted information under federal law. Under applicable DOE orders and client contracts, non-U.S. citizens (including lawful permanent residents) may require an approved DOE Foreign National Visit/Assignment (FNVA) before starting work. Because this position requires immediate access, JFT cannot initiate or sponsor new FNVA processes.
