Position Overview

We are seeking a highly organized and proactive Administrative Assistant 4 to provide comprehensive administrative support to senior management within a dynamic, fast-paced environment. This position requires a professional who can manage competing priorities, maintain confidentiality, and ensure seamless day-to-day operations while supporting leadership and cross-functional teams.

The ideal candidate will have strong organizational and communication skills, advanced Microsoft Office proficiency, and the ability to manage multiple administrative responsibilities independently.

Key Responsibilities
  • Manage daily office operations by anticipating administrative needs and facilitating effective communication across departments.
  • Maintain and improve physical and digital filing systems to ensure document security, accessibility, and efficiency.
  • Coordinate complex calendars, meetings, conference calls, and leadership schedules.
  • Arrange domestic and occasional international travel, including itineraries, accommodations, and logistics.
  • Prepare, edit, proofread, and format presentations, reports, memorandums, and correspondence.
  • Process expense reports, invoices, and maintain accurate financial records.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Track action items and proactively follow up on outstanding requests and deliverables.
  • Serve as a key liaison between management, internal teams, and external stakeholders.
  • Support continuous process improvement efforts by identifying and implementing administrative efficiencies.
Required Qualifications
  • High School Diploma or equivalent required.
  • Associate's Degree preferred.
  • 4 to 6 years of administrative experience supporting senior-level management.
  • Proven ability to independently manage multiple priorities in a fast-paced environment.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent verbal and written communication abilities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Advanced Microsoft Office Suite skills, including:
    • Outlook
    • Word
    • Excel
    • PowerPoint
  • Experience coordinating regional and occasional international travel.
  • Demonstrated ability to provide accurate, timely follow-up and support.
  • Strong interpersonal skills with the ability to build relationships across all organizational levels.
  • Self-motivated with a strong sense of ownership and accountability.
  • Comfortable utilizing digital collaboration and productivity tools.
Preferred Qualifications
  • Additional certifications in office administration or related disciplines.
  • Experience supporting geographically dispersed teams.
  • Experience with expense management and invoice processing.
  • Proven success identifying opportunities for process improvement and operational efficiency.
Compensation Information

The target pay range for this position is $29.00 - $31.00 per hour, depending on experience and location.

Maximum site rates:

  • Summit, NJ: Up to $32.14/hour
  • Fort Washington, PA: Up to $31.69/hour
  • Lititz, PA: Up to $31.69/hour
