Job Description
The Front Office Medical Assistant serves as the primary point of contact for patients and plays a key role in delivering a positive, patient-centered experience. In this position, you coordinate patient appointments, manage provider schedules, perform pre-visit chart preparation, verify insurance coverage, and assist patients with billing and healthcare-related questions. You work closely with clinical and administrative teams in a mission-driven environment dedicated to improving the lives of individuals impacted by HIV, Hepatitis C, STIs, and other infectious diseases. This role is ideal for a highly organized, compassionate professional with strong customer service skills and experience in medical office operations.
Responsibilities- Check in patients promptly and accurately, ensuring all required forms are completed and collected.
- Collect co-pays, deductibles, coinsurance, and outstanding balances at the time of service in a professional and courteous manner.
- Address patient concerns and questions, providing clear information and escalating issues to the appropriate staff when necessary.
- Verify insurance eligibility and benefits prior to or at the time of the visit to ensure accurate billing and coverage.
- Assist patients with billing, payment, and insurance-related questions, helping them understand their financial responsibilities.
- Coordinate patient scheduling, including treatment appointments and follow-up visits, while managing provider calendars efficiently.
- Triage inbound patient calls, gather necessary information, and route inquiries to the appropriate department or provider.
- Conduct pre-visit chart reviews, including insurance verification and demographic updates, to ensure accurate and complete patient records.
- Prepare patient charts and documentation for provider appointments, ensuring all necessary information is available and organized.
- Identify patients overdue for appointments, laboratory work, or referrals and coordinate outreach and follow-up care.
- Support patient retention initiatives by fostering a welcoming environment and ensuring a positive patient experience at every visit.
- Direct patients to the appropriate departments, resources, or staff members based on their needs and questions.
- Provide general administrative support to the front office, including maintaining accurate records and supporting daily office operations.
- Use electronic medical records (EMR/EHR) systems, including eClinicalWorks (eCW), to document and update patient information accurately.
- Collaborate with clinical and administrative team members to support preventive care outreach and value-based care initiatives when needed.
- High school diploma or GED.
- Minimum 1–2 years of experience in a medical office, patient scheduling, or healthcare customer service role.
- Minimum 1–2 years of experience working with electronic medical records (EMR/EHR) systems.
- Proficiency with EMR/EHR platforms, including experience with eClinicalWorks (eCW).
- Strong appointment scheduling skills and the ability to manage provider calendars effectively.
- Experience with insurance verification, including eligibility and benefits checks.
- Knowledge of basic medical terminology used in a healthcare or medical office setting.
- Customer service skills with a demonstrated ability to provide a positive patient experience.
- Experience with patient intake processes, including gathering demographics and insurance information.
- Ability to assist patients with billing and insurance questions in a clear and professional manner.
- Excellent verbal and written communication skills for interacting with patients, providers, and staff.
- Strong organizational skills and the ability to multitask in a busy front office environment.
- Ability to work effectively in a fast-paced healthcare setting while maintaining accuracy and attention to detail.
- Reliable transportation, a valid driver's license, and proof of insurance.
- Experience with preventive care outreach and value-based care programs is preferred.
- Prior experience working in a mission-driven healthcare organization is beneficial.
- Comfort educating patients about processes, appointments, and available resources.
- Demonstrated ability to handle sensitive patient information with professionalism and confidentiality.
- Interest in supporting populations impacted by HIV, Hepatitis C, STIs, and other infectious diseases.
- Willingness to participate in paid training and pursue certification opportunities supported by the organization.
This is a full-time, day-shift position in a medical office environment. The regular schedule is Tuesday through Friday from 7:45 AM to 5:00 PM and Saturday from 7:45 AM to 1:00 PM. You work on-site at a healthcare facility that focuses on serving individuals impacted by HIV, Hepatitis C, STIs, and other infectious diseases. The role involves frequent interaction with patients at the front desk, coordination with clinical staff, and consistent use of electronic medical records systems such as eClinicalWorks (eCW). Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
