Payroll Administrator
Job Description
We are seeking a dedicated Payroll Administrator responsible for reviewing and communicating necessary IFS time reporting corrections and adjustments to supervisors. You will be tasked with transferring system-generated IFS time reporting information into ADP and processing payroll accurately and on time.

- Transfer system-generated (IFS) time reporting information into ADP.
- Process ADP-generated payroll accurately and on time.
- Maintain files of ADP tax-filing and payroll summary reports.
- Reconcile cash activity to payroll and ADP Tax Services reports.
- Answer employees' inquiries about paycheck information.
- Maintain spreadsheets that track and reconcile weekly payroll data.
- Process manual checks to correct discrepancies and special payrolls, including annual bonuses.
- Calculate new hire pay, termination pay, and any other required adjustments to regular pay.
- Reconcile payroll reports to 941s and W-2s.
- Maintain the general ledger with regard to payroll transactions.
- Reconcile the payroll register to the general ledger and create necessary adjusting journal entries.
- Prepare and submit annual workers' compensation report to insurance carriers.
- Prepare journal entries and account analyses as assigned.
- Process stop payments or payroll adjustments.
- Calculate and deduct appropriate amounts from payroll checks, including tax withholdings and other garnishments.
- Verify all overtime hours with the appropriate management personnel before issuing payroll checks.
- Contribute to team effort by accomplishing related duties as needed.
- Provide documents as requested by Human Resources.
- Stay updated on changes in payroll legislation and recommend process improvements.
- Assist with internal and external payroll audits by providing necessary documentation and explanations.
- High School diploma or GED from an accredited institution.
- Minimum of three years of experience in a payroll function with a corporation having a payroll size greater than 1,200 employees, including multi-state payroll.
- Extensive knowledge of ADP or another payroll software tool.
- Strong understanding of federal, state, and local tax laws and regulations, including wage and hour laws, state unemployment insurance (SUI), and reciprocity agreements between states.
- Proficient at MS Office, with advanced Excel skills including formulas, pivot tables, and VLOOKUP.
- Exceptional accuracy in data entry and calculations to avoid costly errors and compliance issues.
- Ability to research, analyze, and resolve complex payroll discrepancies and issues across different state regulations.
- Experience with payroll accounting and data entry.
- Ability to contribute to team efforts and accomplish related tasks as needed.
This position requires on-site work in Oak Creek. The employee must be available to start early around 6 am on Mondays and Tuesdays to ensure timely payroll launch.
Job Type & LocationThis is a Contract to Hire position based out of Oak Creek, WI.
Pay and BenefitsThe pay range for this position is $28.85 - $38.46/hr.
