Job Description
As a Front Desk Receptionist, you will serve as the first point of contact for employees, customers, vendors, candidates, and visitors, ensuring a welcoming and professional front-office experience. You will provide administrative support for day-to-day office operations, balancing multiple tasks while maintaining a positive demeanor.
Responsibilities- Greet and assist visitors, customers, candidates, and vendors.
- Answer and route incoming phone calls professionally and courteously.
- Monitor the front entrance and assist with visitor access.
- Provide visitor badges and ensure adherence to visitor procedures.
- Coordinate guest arrivals, parking information, and visitor hospitality.
- Notify employees of arriving guests and deliveries.
- Maintain a clean, organized, and professional reception area.
- Maintain office supply inventories and place replenishment orders as needed.
- Monitor and restock breakroom, kitchen, and common-area supplies.
- Receive, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and shipments and coordinate local post office runs.
- Assist with copy, print, scanning, and filing requests.
- Create simple signs, labels, and office communications.
- Assist employees with basic office-related requests and questions.
- Issue and maintain employee photo badges and coordinate key card requests.
- Report facility issues to appropriate contacts or vendors.
- Assist with conference room readiness and basic meeting support.
- Ensure office common areas remain organized and stocked.
- Assist with data entry, document organization, and record maintenance.
- Support new hire onboarding activities, including workspace preparation.
- Maintain office directories, contact lists, and administrative records.
- Provide general administrative support to departments as assigned.
- Support occasional company events and employee activities.
- Serve as a helpful resource for employees and visitors.
- Maintain professional interactions with vendors, customers, and business partners.
- Respond promptly to routine inquiries and requests.
- Escalate issues to the appropriate department when necessary.
- High school diploma or equivalent.
- Minimum 2 years of receptionist, administrative assistant, customer service, or office support experience.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Proficiency with Microsoft Outlook, Word, Teams, and basic Excel.
- Ability to maintain confidentiality and professionalism.
- Experience in a corporate office, manufacturing, engineering, or technology environment.
- Experience with office supply management and mail services.
- Familiarity with visitor management systems or badge access systems.
- Experience supporting onboarding or employee-facing administrative processes.
This position is fully onsite in Poway, CA, with a work schedule from Monday through Friday, 8:00 a.m. to 5:00 p.m., including a one-hour lunch break. The role is based in a collaborative and cross-functional environment where initiative is recognized and valued. The office culture emphasizes teamwork and professionalism, providing an engaging space for career growth. Parking can be tight, but there is a nearby hotel offering shuttle services.
Job Type & LocationThis is a Contract position based out of Poway, CA.
Pay and BenefitsThe pay range for this position is $23.00 - $24.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
