Recruiting Coordinator
Job Description
The Recruiting Coordinator supports the full recruitment lifecycle by managing applicant tracking system activities, coordinating interviews, and ensuring a smooth and professional experience for candidates and internal stakeholders. This role requires strong organizational skills, clear communication, and a proactive approach to scheduling and process improvement within a fast-paced talent acquisition environment.
Responsibilities- Use the applicant tracking system (ATS), with a preference for Greenhouse, to review applicants, move candidates through the recruitment process, and maintain accurate candidate records.
- Coordinate interview scheduling between candidates and internal employees, including managing calendars, sending confirmations, and following up with stakeholders who are less responsive.
- Proactively anticipate the scheduling and coordination needs of the recruiting team and adjust plans to ensure interviews are arranged efficiently and on time.
- Maintain a customer service mindset when interacting with candidates and internal stakeholders, providing timely, professional, and courteous communication throughout the hiring process.
- Adhere to established recruiting processes while actively identifying opportunities to improve workflows when current processes are not effective.
- Communicate clearly and professionally in both verbal and written formats with candidates, recruiters, and hiring teams.
- Track and monitor interview requests, candidate status, and follow-up actions to ensure nothing falls through the cracks and all parties remain informed.
- Utilize Microsoft Office 365 applications, including Outlook, Word, and Excel, to support scheduling, documentation, reporting, and communication needs.
- Support recruiting efforts for undergraduate talent, including coordinating activities through platforms such as Handshake when needed.
- Assist with updating and maintaining professional social media content related to recruiting, with a focus on LinkedIn, to help promote roles and engage potential candidates.
- 1 to 3 years of experience as a Recruiting Coordinator or in a similar talent acquisition support role.
- At least 1–2 years of experience reviewing applicants, moving candidates through an ATS, and coordinating interviews with candidates and internal employees.
- Prior experience using an applicant tracking system (ATS), with Greenhouse strongly preferred.
- Strong scheduling and tracking experience, including managing multiple interview requests and follow-up activities simultaneously.
- Demonstrated ability to be proactive and anticipate the needs of the recruiting team, especially regarding interview scheduling and candidate coordination.
- Customer service mindset with the ability to follow established processes while being open to change when processes are not effective.
- Clear verbal and written communication skills, with the ability to communicate professionally with candidates and internal stakeholders.
- Excellent organizational skills and attention to detail, with the ability to manage high volumes of scheduling requests and follow-ups.
- Prior experience with Microsoft Office 365 local and online applications, including Outlook, Word, and Excel.
- Experience using Handshake or similar platforms to support recruiting for undergraduate candidates.
- Experience updating and maintaining professional social media channels for recruiting purposes, particularly LinkedIn.
- Familiarity with ATS systems and talent acquisition workflows beyond Greenhouse is beneficial.
- Ability to adapt to evolving processes and technology tools in a dynamic recruiting environment.
This role is based in an office setting in the Reston Town Center area. The position involves frequent use of computers and standard office software, including Microsoft Office 365 and an applicant tracking system such as Greenhouse. The work environment is collaborative and fast-paced, with regular interaction with recruiters, hiring teams, and candidates. The schedule typically follows standard business hours, with occasional flexibility needed to accommodate candidate and stakeholder availability. Professional business attire is expected to align with the corporate office setting and candidate-facing responsibilities.
Job Type & LocationThis is a Contract position based out of Reston, VA.
Pay and BenefitsThe pay range for this position is $24.00 - $38.46/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
