Sales Assistant
First Integrity Title Company is hiring an energetic, highly organized Sales Assistant to support our Sales Leadership Team and growing Sales Team across Colorado, California Arizona.
This is a fast-paced, highly visible role for someone who enjoys working with people, managing multiple priorities, and playing an integral role in the success of a sales organization.
The ideal candidate is a proactive, highly organized self-starter with exceptional follow-through, a sense of urgency, and the ability to effectively manage multiple priorities and deadlines. Strong communication skills, professionalism, discretion, attention to detail, and the ability to represent the company well in every interaction are essential to this role.
Key Responsibilities
Sales & Administrative Support
- Provide day-to-day administrative and operational support to the Sales Leadership Team and the Sales Team.
- Manage multiple requests, projects, and deadlines while ensuring timely and accurate completion.
- Take ownership of assigned tasks from start to finish, demonstrating strong follow-through and accountability.
- Support client relationship efforts through professional communication, prompt follow-up, and exceptional service.
- Serve as a go-to resource for sales representatives regarding systems, processes, reporting, and administrative needs.
- Assist with onboarding new sales team members, including set-up and training on company systems and sales tools.
- Become proficient in company sales tools and client-facing technology and provide support and basic troubleshooting to sales representatives and clients.
- Assist with client enrollment and set-up across various technology platforms.
Reporting & Data Management
- Prepare and distribute daily, weekly, and monthly sales reports accurately and on schedule.
- Generate and distribute monthly sales activity and technology usage reports.
- Prepare additional reports and data requests as needed.
- Utilize Excel to organize, review, track, and report sales-related data.
- Maintain accuracy and consistency across sales data and reporting.
Education & Training Support
- Coordinate educational classes, including scheduling, room reservations, attendee registration, and related communications.
- Prepare and issue continuing education certificates as needed.
- Manage class-related deadlines and follow-up to ensure successful execution.
Meetings & Event Coordination
- Coordinate monthly Colorado sales meetings, including set-up, materials, presentations, and other meeting logistics.
- Attend and provide administrative support for virtual sales meetings in Arizona and California.
- Assist with set-up, client registration, check-in, tear-down, and other support at larger company events as needed.
- Coordinate event-related details and deadlines with internal teams and vendors.
CRM & Database Support
- Coordinate and assign projects to the CRM support team.
- Oversee client list maintenance, clean-up, and data accuracy.
- Coordinate preparation of daily order reports.
- Provide direction and assistance with CRM-related questions and projects.
- Monitor assigned projects and follow up to ensure timely and accurate completion.
Qualifications
- 1–3 years of experience in sales support, sales operations, customer service, administrative support, or a similar role.
- Experience or familiarity with the title and escrow, real estate, mortgage, or related industries is a plus.
- Strong computer skills and proficiency in Microsoft Word, Excel, Outlook, and PowerPoint are required.
- Comfortable learning and working within multiple software and technology platforms.
- Exceptional ability to multitask and manage multiple priorities in a fast-paced environment while maintaining accuracy, organization, and attention to detail.
- Strong follow-through and personal accountability, with the ability to take ownership of tasks from start to finish.
- Highly organized and detail-oriented, with a strong commitment to accuracy.
- Proactive and resourceful, with the ability to anticipate needs and take initiative.
- Excellent written and verbal communication skills, with a high level of professionalism in interactions with clients, sales representatives, leadership, and internal teams.
- Ability to work independently while also being a collaborative and dependable team member.
