Finance Coordinator
Job Description
POSITION SUMMARY:
The Finance Coordinator serves as the first point of contact for visitors, employees, vendors, and callers while providing administrative support to the Finance organization. The role manages reception activities, coordinates communications and documentation, and assists with routine finance-related administrative tasks while maintaining accuracy, confidentiality, and professional service.
JOB RESPONSIBILITIES:
- Greets visitors, employees, vendors, and other guests; coordinates sign-in, directions, and appropriate access to the office.
- Answers and routes incoming calls and inquiries; receives, sorts, and distributes mail, invoices, statements, and other business correspondence.
- Provides routine administrative support including data entry, scanning, filing, document preparation, calendar coordination, meeting support, and spreadsheet updates.
- Routes vendor invoices, expense documentation, payment inquiries, and other financial records to the appropriate Finance or Accounting team members.
- Maintains organized records and supports document retention, reporting, audit preparation, and information requests as directed.
- Maintains the reception area, office supplies, common administrative materials, and general front-office organization.
- Handles confidential business and financial information with discretion and performs additional duties as assigned.
QUALIFICATIONS:
- High school diploma or GED required; Associate degree or additional training in Business, Accounting, Finance, or Office Administration preferred.
- 1+ year of reception, administrative support, customer service, or office experience; experience supporting a Finance or Accounting function preferred.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel; familiarity with ERP, accounting, or invoice workflow systems is a plus.
- Strong customer service, communication, organization, data-entry, and basic business math skills.
- Ability to manage multiple priorities with accuracy, reliability, attention to detail, and appropriate handling of confidential financial information.
- Ability to work independently and collaboratively with employees, vendors, customers, and Finance team members in a deadline-oriented environment.
