Position Overview

A privately held real estate company is seeking a hands-on Senior Property Manager to oversee a growing portfolio of more than 600 multifamily units and associated retail space across Boston and Quincy.

This position combines asset management, property operations, financial oversight, facilities planning, and team leadership. The ideal candidate will understand how day-to-day operating decisions affect NOI, property value, resident experience, and the long-term condition of each asset.

The Asset & Facilities Manager will directly supervise four Property Managers and four maintenance team members. The position will also work closely with the leasing and marketing team, which reports separately to the CEO.

A major initial priority will be preparing the organization for the opening of two new multifamily properties in summer and fall 2027, while realigning the existing maintenance operation and implementing a comprehensive preventive maintenance program.

Key Responsibilities

Asset Management and Financial Performance

• Oversee the financial and operational performance of the portfolio.

• Review monthly financial statements, budgets, forecasts, occupancy, collections, operating expenses, and variances.

• Work with Property Managers to improve revenue, control expenses, and maximize NOI.

• Identify opportunities to improve property performance and long-term asset value.

• Prepare annual operating and capital budgets.

• Develop action plans for properties that are not meeting financial or operational goals.

• Provide the CEO with concise monthly reporting on financial performance, property conditions, risks, and priorities.

Property Operations

• Directly supervise and support four Property Managers across the portfolio.

• Establish clear performance expectations, accountability, operating procedures, and reporting standards.

• Conduct regular property inspections and ensure identified issues are resolved promptly.

• Monitor occupancy, resident satisfaction, collections, unit readiness, vendor performance, and overall property presentation.

• Work in tandem with the leasing and marketing team to support occupancy and revenue goals.

• Oversee the daily operations and facilities needs of the portfolio’s retail spaces.

Facilities and Maintenance Oversight

• Lead the realignment and improvement of the maintenance department.

• Supervise the maintenance team while establishing clear roles, property assignments, workflows, and performance standards.

• Create and manage a portfolio-wide preventive maintenance program.

• Maintain sufficient knowledge of building systems to evaluate repair recommendations, plan capital work, and oversee vendors.

• Develop capital improvement plans based on property inspections, building-system needs, risk, and return on investment.

• Oversee vendor selection, bidding, contract performance, project schedules, costs, and quality.

• Strengthen inventory controls, purchasing procedures, warranty tracking, and emergency-response protocols.

• Ensure compliance with applicable building, safety, and regulatory requirements.

• Provide after-hours leadership and coordination during significant property emergencies. This position is not expected to perform physical repairs.

New Property Openings

• Lead operational preparation for two multifamily property openings planned for summer and fall 2027.

• Coordinate staffing, building turnover, inspections, vendor contracts, warranties, operating procedures, systems, and maintenance readiness.

• Work across property management, maintenance, leasing, accounting, construction, and outside vendors to ensure both properties are ready for successful occupancy.

• Develop detailed opening plans, deadlines, accountability measures, and progress reporting.

Qualifications

• Bachelor’s degree required.

• 5-7 years of relevant experience in multifamily asset management, regional property management, facilities management, or a comparable operational leadership role.

• Strong understanding of property budgets, financial statements, operating expenses, capital planning, and NOI.

• Working knowledge of building systems, preventive maintenance, capital improvements, and vendor management.

• Experience directly supervising Property Managers and maintenance personnel.

• Proficiency with Yardi and RentCafe required.

• Strong organizational, analytical, financial, and communication skills.
