Compensation: $36.06–$40.87/hour + Annual Discretionary Bonus

Position Overview

A premier commercial real estate organization is seeking a motivated, tenant-focused Facilities Coordinator to support the day-to-day operations of its commercial property portfolio in the Seattle/Bothell market.

This is an excellent opportunity for a facilities, property management, or commercial real estate professional with 1+ years of experience who is looking to expand their exposure to building operations, vendor management, preventative maintenance, capital projects, and tenant services.

Working closely with Facilities and Property Management leadership, the Facilities Coordinator will help ensure properties operate efficiently, service requests are addressed promptly, vendors meet performance expectations, and tenants receive a high level of service.

Key Responsibilities

  • Coordinate day-to-day activities of third-party service providers, including janitorial, maintenance, security, and parking garage vendors.
  • Serve as a key point of contact for tenants regarding maintenance requests, building services, operational issues, and project updates.
  • Monitor and follow up on tenant work orders to ensure timely completion, quality service, and customer satisfaction.
  • Maintain accurate tenant and vendor documentation, including certificates of insurance (COIs) and compliance records.
  • Assist with the administration and maintenance of CMMS platforms, including Angus, for work order tracking and preventative maintenance.
  • Support capital improvement projects through Unifier, including project setup, budget tracking, invoice processing, and documentation.
  • Coordinate tenant and internal meetings, including scheduling, agenda preparation, and follow-up items.
  • Draft and distribute tenant communications regarding maintenance activities, building operations, events, and property updates.
  • Assist with planning and coordinating tenant engagement programs and property events.
  • Support facilities leadership with operational reporting, scheduling, expense management, and administrative functions.
  • Partner with Property Management, Facilities, vendors, and other internal teams to resolve operational issues.
  • Participate in special projects and initiatives designed to improve building operations, tenant experience, and overall efficiency.

Qualifications

  • Bachelor's degree preferred.
  • 1+ years of experience in facilities management, property management, commercial real estate, building operations, or a related field preferred.
  • General understanding of commercial building systems, preventative maintenance, and facility operations.
  • Experience coordinating vendors, contractors, or third-party service providers highly preferred.
  • Familiarity with CMMS/property management systems such as Angus preferred.
  • Exposure to BAS/BMS systems, Unifier, or similar project management platforms is a plus.
  • Strong customer service skills with the ability to build positive relationships with tenants, vendors, and internal stakeholders.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Detail-oriented with strong follow-through and problem-solving skills.
  • Ability to work independently while collaborating effectively across multiple teams.

Compensation & Benefits

The expected hourly compensation range is $36.06–$40.87/hour, based on experience, qualifications, skills, and work location. The position is also eligible for an annual discretionary bonus.
