Position Overview
We are seeking a dependable, organized, and hands-on Office & Facilities Maintenance Manager to oversee general office activities, facility maintenance, and building improvement projects at our Lake Forest location.
This individual will perform routine maintenance and general repairs when appropriate while also coordinating larger or specialized maintenance projects with outside service contractors.
The ideal candidate is a hands-on problem solver who can identify facility needs, determine the appropriate course of action, and take ownership of projects from initial planning and contractor selection through completion.
This is a direct-hire opportunity and may be structured as either part-time or full-time, depending on experience and availability.
Because this is a fully onsite position, candidates should live within approximately 15 miles of Lake Forest, CA.
Key Responsibilities
Facilities Maintenance & Repairs
- Perform routine maintenance and general repairs throughout the office and facility.
- Troubleshoot and address minor plumbing, electrical, lighting, fixtures, doors, locks, furniture, and other facility-related issues.
- Perform basic handyman-type repairs and general building upkeep.
- Assemble, install, move, or repair office furniture and equipment.
- Perform and track preventative maintenance to help keep building systems and equipment functioning properly.
- Identify maintenance, building, or safety concerns and determine the appropriate course of action.
- Assist with minor painting, patching, mounting, installation, and general facility improvement projects.
- Respond promptly to unexpected maintenance and facility needs.
Contractor & Facilities Project Management
- Manage maintenance and facility improvement projects involving selected service contractors.
- Identify when maintenance or repairs require a licensed contractor or specialized service provider.
- Source and evaluate qualified contractors and service providers as needed.
- Manage the contract bidding process, including obtaining and comparing estimates, scopes of work, pricing, and proposed timelines.
- Coordinate contractor access, scheduling, and onsite work.
- Monitor contractor performance and ensure work is completed according to the agreed-upon scope, quality standards, budget, and timeline.
- Review project progress and follow up on outstanding work or corrective actions.
- Evaluate and process permit applications and other required project documentation.
- Manage facility project timelines to ensure key milestones and completion deadlines are met.
- Maintain organized records of bids, contracts, permits, invoices, warranties, maintenance activities, and completed projects.
- Communicate project status, costs, concerns, and recommendations to management.
Office Operations
- Oversee general day-to-day office activities and workplace needs.
- Maintain office supplies and ensure commonly used items remain stocked.
- Assist with office organization, equipment, furniture, and workspace needs.
- Support management and employees with general office and facility requests.
- Maintain records related to maintenance, supplies, equipment, contractors, and facility projects.
- Help ensure the office remains clean, organized, safe, and professional.
- Assist with additional administrative and operational responsibilities as needed.
Qualifications
- Previous experience in facilities management, facilities maintenance, building maintenance, property management, office management, or a similar role.
- Hands-on experience with general building repairs and preventative maintenance.
- Experience coordinating contractors, maintenance projects, bids, or facility improvement projects preferred.
- General understanding of the contractor bidding and selection process.
- Experience with or familiarity with building permits and permit applications is preferred.
- Comfortable using common hand and power tools.
- Basic knowledge of plumbing, electrical, lighting, hardware, furniture repair, and general facility upkeep.
- Strong project management, organizational, and problem-solving skills.
- Ability to manage multiple maintenance projects and deadlines simultaneously.
- Able to work independently, prioritize facility needs, and take initiative.
- Comfortable communicating and negotiating with contractors and service providers.
- Strong follow-through and attention to detail.
- Basic computer skills, including email and Microsoft Office.
We are open to both part-time and full-time candidates. Specific working hours can be discussed during the interview process based on experience, availability, and company needs.

Our ideal candidate is someone who takes ownership of keeping a workplace and facility running smoothly. You should be comfortable picking up your tools and handling a routine repair yourself, while also knowing when a project requires a specialized contractor.
For larger projects, you should be capable of taking the lead—obtaining bids, evaluating contractors, coordinating permits, managing schedules, monitoring work, and making sure the project is completed properly and on time.
