Onsite Coordinator
Job Description
We are hiring for an Onsite Coordinator; this is in a fast paced environment. We are looking for someone with strong office admin experience, who likes working with people and team members. Have good organzational skills. Must have good computer experience, using Microsoft Office, (Excel, Teams, Outlook). This is a 1st shift job.
Shift: 1st: (7:00-4:00/8:00-5:00/9:00-6:00. Be flexible
Monday-Friday.
Key Job Functions – Onsite Coordinator
- Employee Check-In & Attendance
- Track daily attendance, call-offs, tardiness, no-call/no-shows, and early departures.
- Maintain accurate attendance records and communicate issues to the onsite/account manager.
- Follow up with employees regarding attendance concerns.
- Help coordinate replacements for call-offs and open positions.
- New Hire Onboarding
- Check in new hires on their first day.
- Verify employees report to the correct department, shift, and supervisor.
- Assist with orientation, facility rules, PPE requirements, badges, and timekeeping procedures.
- Monitor new-hire attendance and early retention.
- Employee Relations
- Serve as a primary point of contact for temporary associates.
- Answer questions regarding schedules, timecards, payroll, assignments, policies, and workplace expectations.
- Address employee concerns and escalate serious issues appropriately.
- Conduct coaching and corrective-action conversations as directed.
- Client Communication
- Maintain regular communication with client supervisors and managers.
- Obtain daily staffing needs, headcount changes, call-offs, performance concerns, and upcoming requirements.
- Communicate employee issues quickly and professionally.
- Help ensure staffing levels meet the client's production requirements.
- Recruiting & Staffing Support
- Communicate open positions and staffing needs to recruiters.
- Help schedule interviews, orientations, and start dates.
- Follow up with candidates before their first shift to improve show rates.
- Assist with high-volume hiring and hiring events when needed.
- Timekeeping & Payroll Support
- Review employee punches and timecards.
- Identify missing punches, incorrect hours, and timekeeping discrepancies.
- Work with employees and client supervisors to obtain corrections before payroll deadlines.
- Performance & Retention
- Track employee performance, attendance, turnover, and assignment completion.
- Conduct employee check-ins, particularly during the first 30 days.
- Identify employees at risk of quitting or being terminated.
- Work proactively to improve retention and reduce turnover.
- Safety & Compliance
- Reinforce client safety policies, GMP requirements, PPE rules, and staffing company policies.
- Report workplace injuries and incidents immediately through the proper process.
- Ensure employees understand job expectations and assignment requirements.
- Maintain confidential employee documentation appropriately.
- Reporting & Administrative Duties
- Maintain daily headcount and attendance reports.
- Track starts, terminations, call-offs, turnover, and open orders.
- Update employee records and assignment statuses.
- Provide daily or weekly staffing updates to management.
