Legal Administrative Support
Job Description
Now is a great time to join the Arkansas Municipal League team! The Legal Administrative Support position supports the organization’s legal administration team and litigation team. This position provides comprehensive administrative assistance and manages assigned projects for the administration and litigation teams, ensuring processes run smoothly, standards are maintained, and special projects are managed efficiently.
RESIDENCY REQUIRMENT: Must live within an Arkansas city or incorporated town limit to work at the Arkansas Municipal League.
Duties & Responsibilities – Legal Administration:
- Case intake: gather client contact information, update global contact list, send and track Consent to Defense forms, create matter site, and request initial client documents.
- Field incoming general MLDP calls and assist or re-route members.
- Maintain CLE library.
- Organize and maintain supply room, manage supply orders for all MLDP staff.
- Retrieve, scan, and distribute mail.
- Provide administrative support to legislative team.
- Assist Legal Administrator with management of the Arkansas City Attorneys Association: maintain membership logs and assist with Conference/Convention CLE preparation.
Duties & Responsibilities – Litigation Assistant:
- Request initial client documents based on standard lists for case type and save documents to the matter site.
- Send medical records requests, organize records received, and submit invoices for payment.
- Draft routine correspondence.
- Schedule appointments or meetings.
- Read, route, and respond to incoming mail.
- Transcribe handwritten documents.
- Process invoices for various defense expenses.
- Perform routine acquisition and organization of information from various private and public entities such as courts, EEOC, CLEST, DWS, SSA, DHS, Arkansas Office of Driver Services, healthcare providers, educational facilities, various employers, law enforcement agencies, and others.
- Communicate with clients, opposing counsel, courts, court reporters, and other entities.
- Other duties that may be assigned.
Education and Experience:
Three years experience in an administrative support position in the legal field is preferred.
