Summary:
The Administrative Assistant is a part-time position that is responsible for assisting the Director in the needs of the organization. The Administrative Assistant reports to the Director and works as a coordinated team with the administrative office.
Administrative Responsibilities
Office duties – answer phones, emailing, scanning, faxing and copying
Meet goals of quality and quantity
File all materials; care and maintain general files.
Organize, maintain and audit clinical files
Create necessary documents, letters and brochures
Give administrative assistance to support staff
Run office errands
Assist with maintaining and updating packets as needed
Scheduling of meetings, as needed
Assist with Human Resources – attendance, employee handbook, payroll, recruitment
Attend monthly meetings for office staff, all staff meetings and other meetings as requested.
Willingness to take on extra duties as necessary
Qualifications
Preferred 2 years' experience in office administration (Medical office preferred)
Familiarity with Human Resources and Labor Laws
Maintain confidentiality and discretion with information related to all services and operations, without exception
Must be positive and upbeat and work well with different age groups and personalities
Must have Knowledge of general office administration support and knowledge of office equipment
Must be proficient in Microsoft Office Platform: Word, Excel, Power Point, and
Publisher as well as Google docs.
Must be able to work independently and on schedule
Must have a professional demeanor and presentation
Must be able to communicate effectively (written/oral) with staff, management, clients and their families
Must have proven organizational skills with the ability to juggle multiple projects at one time
Must be able to work quickly, efficiently and accurately with excellent Time Management Skills
Must be detail oriented with excellent analytical and critical thinking skills
Must be a self-starter, take initiative and follow through
Must assist & support Upper Management and office staff with other administrative duties assigned
Ability to pass a Department of Justice fingerprint screening/background check
20 hours per week
