Front Office & Operations Coordinator
Job Description
This is not an entry-level admin role.
We are seeking a professional, organized, and dependable team member for an in-office role that begins with administrative support and grows into insurance sales and client service over time.
This position is ideal for someone with recent sales experience, strong office skills, and the desire to build a long-term career in insurance. The role includes front-office support, client communication, follow-up, document handling, and other day-to-day administrative responsibilities, with the opportunity to take on additional sales and service responsibilities as they develop within the agency.
Greet clients and manage front office flow with professionalism and confidence
Answer phones, respond to emails, and assist clients with inquiries
Make outbound calls to offer and sell vehicle registration and insurance services
Learn and operate internal systems for insurance and registration services
Receive, organize, and process incoming mail
Prepare and deposit checks accurately and on time
Maintain organized records, files, and internal documentation
Assist with scheduling, follow-ups, and administrative workflows
Support real estate-related administrative tasks as needed
Provide executive and personal assistant support when required
Maintain a polished, organized, and client-ready office environment
- Preferred sales backgrounds include auto sales, loan origination, outside sales, banking sales, home improvement sales, and high-end gym membership sales
- Minimum of 2 years of recent sales experience required
- Most recent 2 years of employment must be in a sales role
- Minimum of 2 years of professional office experience required
- Active California Property and Casualty license preferred
- If not currently licensed, must complete licensing before starting employment
- Strong communication, follow-up, and organizational skills
- Comfortable working in a structured in office environment
- Professional appearance and attitude
- Confident speaking with clients in person, by phone, and by email
- Able to handle administrative work accurately and consistently
- Interested in growing into insurance sales and client service
