Concierge and Admissions Coordinator
Job Description
Manchester Rehabilitation & Healthcare Center is seeking an organized, personable, and dependable Admissions and Concierge Coordinator to support the admissions process and provide an exceptional experience for residents and families. This is an administrative and customer-service-focused position. A nursing license is not required.
25 hours - Monday through Friday.
Prepare and complete admission agreements and related documentation with residents and responsible parties.
Ensure admission paperwork is accurate, complete, signed, and properly maintained.
Provide facility tours to prospective residents, families, referral partners, and community members.
Serve as a welcoming point of contact for admission inquiries.
Provide coverage for the Director of Admissions when unavailable.
Communicate with hospitals, referral sources, residents, families, and facility departments regarding admission status and arrangements.
Assist with referral intake, insurance information collection, room assignments, and admission coordination.
Coordinate arrival details with Nursing, Social Services, the Business Office, Environmental Services, and other departments.
Maintain inquiry, referral, waiting-list, and admission tracking records.
Scan, upload, file, and distribute admission documentation.
Escalate clinical eligibility questions to the appropriate nursing leader.
Assist with census-development and facility marketing activities as assigned.
Welcome newly admitted residents and families upon arrival and help orient them to the facility.
Ensure resident rooms are prepared and necessary equipment, personal items, and welcome materials are in place.
Introduce residents and families to key department representatives and explain available services.
Conduct follow-up visits with new residents and families during the first 72 hours of admission.
Answer questions and assist residents and families with nonclinical requests.
Identify concerns early and promptly communicate them to the appropriate department leader.
Coordinate the Ambassor program, follow up to confirm that requests and concerns have been addressed.
Maintain a concierge log to track resident and family requests, concerns, and resolutions.
Promote a welcoming, responsive, and service-oriented environment throughout the facility.
Protect resident confidentiality and comply with HIPAA, resident rights, and applicable state and federal requirements.
Perform other administrative and customer-service duties as directed by the Director of Admissions or Administrator.
Associates degree perferred, High school diploma or equivalent required; additional education in healthcare administration, hospitality, business, or a related field plus.
Previous administrative, admissions, hospitality, concierge, customer-service, or healthcare experience preferred.
Skilled nursing, assisted living, hospital, hotel, medical office, or insurance experience is a plus.
Strong organizational skills and attention to detail.
Professional written and verbal communication skills.
Warm, approachable, and comfortable working directly with residents and families.
Ability to conduct professional facility tours.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office and general office technology.
Ability to maintain confidential information and exercise sound judgment.
