Job Description
Summary of Functions
Supervisory position with authority, responsibility, and accountability to plan, implement, and
monitor operations, profitability, quality service, marketing, and resident relations of the
community, all while maintaining the investment. Utilizes management skills to train, motivate, and
empower our associates to reach their goals and those of the community. Assists in associate
mentorship and development, as well as other special assignments, including acquisition and
disposition procedures, lease-up operations, and multi-site management.
Duties and Responsibilities
1. Reports directly to the Regional Manager. Trains and supervises on-site team members.
Works with administrative division associates, other site managers, other management
company associates, outside vendors and service providers.
2. Schedules, supervises, and directs the daily activities of all on-site team members. Conducts
training, coaching, performance appraisals, and disciplinary action as needed. Creates an
atmosphere of cooperation, enthusiasm, service urgency, teamwork, customer satisfaction,
and professionalism among team members.
3. Prioritizes, assigns, and monitors daily activities, service requests, make-ready priorities,
and construction projects. Inspects and approves complete make-readies to ensure quality.
Supervises management of inventory system in conjunction with maintenance team.
4. Orchestrates effective marketing and communications, including creation and
implementation of advertising and marketing plan for the community. Ensures appropriate
records are maintained and periodic market surveys are completed per policy.
5. Collaborates with Regional Managers to address pertinent issues related to the community,
market conditions, or other respective issues.
6. Directs leasing efforts at the community, assuring all inquiries are responded to promptly
and effectively, generating prospective resident visits to the community. Shows community
and apartment homes, utilizing sales skills to efficiently close prospects. Follows up with all
prospective residents until the lease is closed or the prospect has concluded their home search
7. Ensures quality presentation of the community and apartment homes by inspecting property
daily, seeing any deficiencies to a resolution.
8. Oversees accurate and efficient lease administration by monitoring traffic and waiting lists,
assuring new applications are processed in accordance with rental criteria and fair housing
laws, and thoroughly reviewing all lease documents. Maintains strong customer service
focus throughout the leasing and move-in processes for new residents.
9. Maintains resident relations and retention by managing social media campaigns, resident
activities, and community events. Handles complaints and problems relating to service and
lease provisions promptly in an appropriate manner. Processes and follows up on service
requests to ensure timely completion and resident satisfaction.
10. Executes an effective lease renewal program by contacting resident at least 60-90 days in
advance to review renewal options and obtain signature on renewal lease.
11. Responsible for rent collection efforts, maintaining account records, and making bank
deposits as necessary. Prepares legal action for eviction when needed.
12. Achieves operation budget goals regarding occupancy, expenses, NOI, etc. Negotiates for
supplies and services to achieve best prices. Processes invoices daily and ensures any
expenses outside of operation budget are approved in writing by the Regional Manager.
13. Completes property inspections and budget preparation; budgets must meet lender, investor,
and government agency requirements. Reviews monthly financial statements and reports on
any variance from budget.
14. Stays abreast of current policies and guidelines, enforces policy manual as changes are
effected, operates in accordance with all company policies and procedures. Maintains
records and resident files in an orderly and up-to-date manner. Inputs daily activity in
Entrata and ensures submission of all daily, weekly, and monthly reports as required.
15. Serves as a role model and mentor to other associates as appropriate, emphasizing newly
hired and recently promoted property managers. Serves as a “troubleshooter” for struggling
or underperforming communities and covers sister communities during absences.
16. Assists with special projects assigned by corporate management team, which may include
new lease-up communities or multi-site operations. Assists with the acquisition and
disposition of properties as it pertains to gathering, assembling, and logging of due diligence
information as directed.
17. Other duties as assigned.
Qualifications
- Associate’s degree in business or related field; relevant business experience may be accepted in lieu of formal education.
- Minimum five years’ experience in a supervisory capacity managing multifamily properties.
- CAM, CAPS, CPM certification required or completed within 1 year of hiring into role.
- Valid driver's license and clean driving record required.
