Job Description

Job Description

Serenity Hospice Care NJ is seeking a highly organized, detail-oriented, persistent and proactive Billing Readiness Coordinator to join our team. This is an important administrative and clinical-support position responsible for overseeing our daily billing readiness and claims-hold process and making sure issues are identified, assigned, followed up on, and resolved before they impact the billing cycle.

About the Role

The Billing Readiness Coordinator serves as the central point of coordination for identifying issues that could prevent hospice claims from being billed. You will oversee the billing-hold process from identification → assignment → correction → verification → release to Billing.

This position is ideal for an experienced LPN who has strong clinical process's knowledge, excellent follow-through, and the ability to communicate clearly with multiple departments and hold staff accountable for resolving outstanding issues.

Key Responsibilities

  • Maintain and monitor a daily billing-hold tracking system.

  • Assign billing holds to the appropriate department or responsible individual.

  • Monitor the age of outstanding holds and ensure timely follow-up.

  • Track issues through completion and verify that corrections have been made before releasing claims to Billing.

  • Follow the established escalation process when issues remain unresolved.

  • Coordinate with clinical, administrative, and leadership teams to resolve billing-readiness concerns.

  • Conduct or assist with a daily billing-readiness huddle with key department representatives.

  • Route billing holds based on department responsibility rather than distributing unnecessary information to multiple departments.

  • Identify recurring problems and communicate trends to leadership.

  • Monitor physician orders requiring follow-up and ensure appropriate action is completed.

  • Support the Daily Pre-Billing Readiness Report to identify and resolve problems before the billing cycle.

  • Track the financial impact of billing holds, including estimated dollars being held.

  • Prepare reports regarding:

    • Total claims currently on hold

    • Claims resolved since the previous report

    • Remaining claims on hold

    • Holds by reason and department

    • Holds exceeding 3 days

    • Oldest outstanding holds

    • Estimated dollars held

    • Significant or recurring issues requiring leadership attention

  • Incomplete Social Work/Chaplain documentation

  • Missing visit notes

  • Visit frequency or order mismatches

  • Missing or incorrect authorizations

  • Election, consent, or document issues

  • Level-of-care entries

  • EMR/system issues

  • Other unidentified billing holds

Required Qualifications:

  • Current, active New Jersey LPN license

  • Minimum 2 years of nursing experience

  • HCHB experience preferred

  • Hospice or palliative care experience preferred

  • Strong understanding of documentation and clinical workflows

  • Excellent verbal and written communication skills

  • Strong organizational and analytical abilities

  • Excellent problem-solving skills

  • Ability to prioritize and manage multiple outstanding issues

  • Ability to work independently while collaborating effectively with a team

  • Strong attention to detail and follow-through

  • Comfortable working with reports, tracking systems, and deadlines

Full Time 8:30am to 4:30pm Monday through Friday
