Willow Ridge Rehabilitation is NOW HIRING an experienced Medical Records Coordinator / Central Supply Coordinator to join our team!
We are seeking a highly organized, detail-oriented healthcare professional with experience in medical records, health information management, and/or long-term care. This full-time position plays an important role in maintaining accurate and compliant resident medical records while ensuring our facility has the supplies and resources needed to provide exceptional resident care.

Position SummaryThe Medical Records Coordinator / Central Supply Coordinator is responsible for maintaining accurate and confidential resident clinical records, supporting regulatory compliance, coordinating medical record audits, and managing facility supply inventory.
This position works closely with Nursing, Administration, physicians, clinical staff, and other departments to support efficient facility operations and high-quality resident care.
Medical Records ResponsibilitiesMaintain accurate, complete, organized, and confidential resident medical records
Conduct ongoing audits and reviews of clinical documentation to ensure accuracy and regulatory compliance
Maintain current, overflow, and discharged resident record filing systems
Ensure medical records practices comply with applicable State and Federal regulations, HIPAA requirements, and facility policies
Assist with medical coding, auditing, clinical records management, and privacy requirements
Maintain strict confidentiality of all resident, employee, and facility information
Understand and apply applicable long-term care payment systems, including Medicare
Communicate effectively with physicians, nursing staff, therapy, allied health professionals, and facility leadership

Assist with staff education regarding appropriate documentation and recordkeeping procedures
Maintain appropriate inventory levels to ensure departments have the supplies necessary to provide quality resident care
Inventory, organize, stock, and replenish facility supply areas
Order facility supplies, including office supplies, dietary supplements, incontinent supplies, and other clinical or operational supplies
Research and compare products, vendors, and pricing
Track supply usage and reconcile charges for utilized supplies
Prepare monthly reconciliation information for the Administrator
Conduct and oversee monthly and annual inventory
Maintain accurate computerized and manual inventory records
Monitor supply levels and proactively place orders to prevent shortages
Assist leadership with inventory control and cost management

Perform additional duties as assigned by the Administrator, Director of Nursing, or designee
Minimum of 1 year of healthcare or long-term care experience preferred
Training or experience in post-acute care health information management preferred
Previous experience with medical records, central supply, inventory management, or skilled nursing operations is highly desirable
Knowledge of State and Federal requirements related to healthcare documentation, confidentiality, and medical records
Understanding of medical records practices and procedures within a skilled nursing or post-acute care setting
Strong organizational skills with exceptional attention to detail
Ability to manage multiple priorities, meet deadlines, and complete assigned projects
Strong analytical, problem-solving, and basic mathematical skills
Excellent written and verbal communication skills
Professional demeanor with strong customer service and interpersonal skills
Ability to exercise sound judgment and maintain confidentiality
Proficiency in Microsoft Office, including Word, Excel, and Outlook

Comfortable using electronic systems for inventory, purchasing, reporting, scheduling, timekeeping, and other administrative functions
