Business Office Manager
Job Description
We are seeking an experienced, organized, and dependable Business Office Manager to join our leadership team.
The Business Office Manager is responsible for the financial and administrative functions of the community and works closely with leadership, residents, families, employees, and ownership. The ideal candidate is detail-oriented, accountable, professional, and comfortable managing multiple priorities in a fast-paced environment.
Key ResponsibilitiesManage all aspects of accounts payable, including invoice processing and payment coordination.
Manage and reconcile the Resident Trust Fund Account and facility petty cash.
Prepare and distribute resident statements accurately and timely.
Monitor accounts receivable, conduct collection calls, and actively manage aging balances.
Create and maintain accurate resident profiles and account information in PointClickCare (PCC).
Complete long-term care insurance requests and other resident financial documentation.
Manage payroll-related responsibilities and assist with recruiting, onboarding, benefits administration, and employee documentation.
Handle routine HR administrative matters, including unemployment claims and wage garnishments.
Supervise and train business office staff and maintain efficient office procedures.
Maintain organized and confidential resident, employee, and financial records.
Ensure compliance with applicable regulations and company policies.
Collaborate with department leaders and provide administrative support to community leadership and ownership.
High school diploma or equivalent required; college education in business, accounting, finance, or a related field preferred.
Minimum 3 years of business office, accounting, bookkeeping, or administrative experience.
Senior living, healthcare, or long-term care experience preferred.
Experience with accounts payable, accounts receivable, collections, or payroll strongly preferred.
Strong computer, organizational, communication, and problem-solving skills.
PointClickCare experience is a plus.
Ability to maintain confidentiality, work independently, meet deadlines, and adapt to changing priorities.
