Community Ambassador Coordinator
Summary/Objective:
The Community Ambassador Coordinator provides administrative and operational support to the Community Ambassador team, helping support member engagement, retention, and recruitment initiatives. This position serves as a key point of contact for current and prospective members, consumers, and industry contacts.
The ideal candidate is highly organized, detail-oriented, customer-service focused, and comfortable managing multiple administrative priorities, systems, and projects in a deadline-driven environment.
Key Responsibilities:
• Serve as a first point of contact for current and prospective members, consumers, and other inquiries.
• Respond professionally and promptly to telephone and email inquiries from current and prospective members.
• Perform accurate data entry, auditing, and report generation using the Association Management System (AMS) and Learning Management System (LMS).
• Utilize the project management system (Basecamp) to manage, execute, assign, and track deliverables within established timelines.
• Coordinate department administrative needs, including supply and collateral ordering, mailings, documentation, and other general administrative support.
• Maintain current knowledge of association activities, policies, programs, and services to accurately respond to member and consumer inquiries.
• Work closely with the Community Ambassador team to support ongoing projects, programs, and initiatives.
• Maintain accurate records and ensure information is entered and updated consistently within applicable systems.
• Assist with tracking projects, deadlines, member requests, and follow-up activities.
• Provide professional and personable customer service while maintaining appropriate confidentiality and professionalism.
• Perform additional duties and administrative support as required.
Core Competencies:
• Strong administrative, organizational, and project management skills.
• Previous data entry experience preferred, with strong accuracy and attention to detail.
• Strong computer and technical skills, including proficiency with Microsoft Office: Outlook, Word, Excel, and PowerPoint.
• Previous database, AMS, LMS, CRM, or similar system experience is a plus.
• Personable, professional, and diplomatic customer service and communication skills.
• Ability to manage multiple priorities and deadlines simultaneously.
• Ability to work independently while also collaborating effectively as part of a team.
• Strong written and verbal communication skills.
• Excellent follow-up and time-management skills.
• Positive, team-oriented attitude and willingness to assist where needed.
Education and Experience:
• Associate degree in a business-related field preferred. Relevant professional experience that provides the knowledge and skills required for the position may be substituted for college education.
• 2–3 years of recent customer service experience required.
• Previous administrative, membership services, association, project coordination, or similar experience preferred.
• Experience working with databases and maintaining accurate records is preferred.
